HOW TO SHARE OR EXPORT YOUR WORKBOOK

OVERVIEW

Visor offers various ways to share and export the project plans you visualized
in a workbook. 

Directing people to your Visor workbook is the optimal way to share your data,
as your collaborators will then receive the most updated version of your project
data. Visor also offers export options and provides an embed code.

Visor offers PNG, JPG, CSV, and PDF exports. But directing people to your
workbook is the best way to share fresh data.


CREATE A SHARABLE LINK TO YOUR WORKBOOK

You can create a share link for your Visor that you can send via email, Slack,
Microsoft Teams, or wherever else you'd like!
Watch the video tutorial below. We also have step-by-step instructions beneath
this video.




How to access your workbook's share link:

1. Click "Share" in the top-right corner

2. Click the "create sharing link" at the bottom of the share screen

3. You can decide if you want this share link to grant people owner, editor,
commenter, or viewer access

4. Once generated, you can copy the link from this share screen or from the
"share link" button in the top-right corner of your workbook

5. You can choose to deactivate this share link whenever you want. Deactivating
the share link prevents anyone from gaining access to your workbook and
workspace after deactivation.

 


SHARE YOUR WORKBOOK IN VISOR

You can share your workbook with others directly in Visor in just a couple of
clicks.

How to share in Visor:

1. Simply click "Share" in the top-right corner

2. Then, enter the email address of the person you want to share your workbook
with.

3. Choose what access you want your invitees to have (e.g., viewer, editor,
commenter, owner).

4. Click "Share" when all your emails are entered. Your invitees will receive an
email.

You can share your workbooks with multiple collaborators by using comma
separated email lists.



If you ever want to remove someone from having access to your workbooks, just
click on their permission level in the list of collaborators and select
"Remove".



CSV AND SPREADSHEET EXPORT



Exporting to a data format is easy:

 1. Open the File menu
 2. Click on Export View, and
 3. Click on Spreadsheet (.csv)

That’s it! You’ll have a complete export of all your data from the workbook.

All data is exported into a tabular format, regardless of which view you were
in. Records hidden due to filters or levels shown appear in the exported
spreadsheet.



PNG AND JPG IMAGE EXPORT



Exporting to an image format is easy:

 1. Open the File menu
 2. Click on Export View, and
 3. Click on Image (.jpg) or Image (.png)

That’s it! You’ll have an image export of your data from the view tab you’re in.

Only visible records will be exported to an image. Image sizes vary based on
your browser window dimensions.



FREE GANTT & TABLE PDF EXPORT

There are a couple of options for exporting your data to a PDF. Below is the
option for our free plan. If you want to export your entire Gantt view to a PDF,
watch the video below. The "full view" PDF export is a premium feature. 



Exporting to PDF is easy:

 1. Open the File menu
 2. Click on Export View, and
 3. Click on Adobe (.pdf)

That’s it! You’ll have a PDF export of your data from the view tab you’re in.

Only visible records will be exported to PDF. PDF sizes vary based on your
browser window dimensions.


 


PREMIUM GANTT EXPORT TO PDF

If you are a Visor Pro or Ultimate subscriber, you have the option to download
an entire Gantt view to a PDF. This video shows you.




EMBED VISOR WORKBOOKS

If you want to share your project data on another site (e.g., sharing a Gantt
chart on Confluence), we have a video tutorial below that goes through these
steps:

Embedding Visor in external apps (like Confluence) is easy:

 1. Open the File menu
 2. Click on Embed to open the embedding modal
 3. Click on the “copy” icon in the Embed link field
 4. Visit any app that allows you to embed iFrames
 5. Paste in the embed link, and
 6. Save + publish your work


That’s it! You’ll have a fully functioning embedded Visor Workbook in your
external app. Make sure you configure a width of at least 1280px, and a height
of at least 685px to ensure that Visor works correctly.
