Supplierforce is a community-based platform that creates a collaborative application for supplier onboarding, account management, agreement negotiation, agreement signatures and real-time support. Supplierforce Benefits and Uses Include: * Single tool for onboarding and collaboration with internal Salesforce partners * Address Salesforce onboarding questions upfront * Self-serve ability to update account and contact information * Log cases when you have questions or need help Navigating this Document Quip Tips: * Hover over the little blue dot near the right hand scroll bar to see a Table of Contents for easy navigation * In the View tab, you can select options to Show Outline and Keep Outline Expanded * Use quick links found within the document to jump to the information you need fast * Collapse or expand sections by hovering over the section title and selecting the gray triangle If you have questions not covered in this document, please reference the Supplierforce Frequently Asked Questions document. The Supplier Onboarding Process Prospective suppliers participating in a RFP/RFI are not required to complete the onboarding process, but are required to sign a NDA. All suppliers wishing to do business will Salesforce will be required to complete the onboarding process (this includes suppliers who have been awarded business as part of the RFP process). See a summary of required actions below. Note: You can use the quick links below (in light blue) to jump to a specific section of this guide. Prospective suppliers: RFP/RFI Process Prospective suppliers engaging in a Request for Proposal/Information process will be required to sign an NDA, but will not need to complete the onboarding process unless they are awarded business. Supplier Actions: * Sign NDA (required) * Log into Supplierforce (optional) * Help and Support (if needed) Suppliers authorized for full onboarding Suppliers that are not participating in an RFP/RFI process will need to sign a NDA and complete the onboarding process. Supplier Actions: * Sign NDA (required) * Log into Supplierforce (required) * Complete Onboarding (required) * Help and Support (if needed) Sign the NDA A non-disclosure agreement (NDA) is typically required before transacting with Salesforce. It is also required when participating in a request for proposal (RFP) or similar activity. Note: The NDA must be signed before final submission of full onboarding. You won’t see submit button until NDA is signed. Watch this 3 minute video or follow the steps below to complete your Non-Disclosure Agreement(NDA): Dein Browser unterstützt keinen Videoinhalt. 0:00 / 3:28 Open and Review the Non-Disclosure Agreement * Open the email from Salesforce, titled Document Signature Required. * Note: The NDA will only be sent to the primary contact for each supplier. * Click on Review Document (a new window will appear) * Select Continue to open the document * Read the Confidentiality Agreement (NDA) between Salesforce and your company * Use the navigation bar to zoom, download, or print the agreement * Click on the Other Actions tab to see additional options Sign the NDA After you have read the agreement, electronically sign via Docusign * Click on Signature under the Fields column to the left of the screen * Drag your signature to the signature line on the last page of the agreement Adopt Your Signature * The Adopt your Signature window will open * Chose your signature method: Select Style, Draw, or Upload * Click Adopt and Sign * You Signature will appear on the Signature line. * Click Finish to close the NDA page Rejecting an NDA * If you feel the NDA does not meet your requirements and would like to negotiate, select Decline to Sign in the Other Actions menu. * Someone from the Salesforce team will contact you to begin negotiations and approvals. * Once both parties agree on the language, the revised NDA will be resent for signatures. You have completed signing your Non-Disclosure Agreement! Next Steps The next steps in the process will vary based on your situation. Please review the options below: * If you are a prospective supplier participating in a Request for Proposal/Information - then no further action is needed in Supplierforce at this time. If you are awarded business following the RFP, then you should continue with the steps below to Log into Supplierforce * If you are a supplier not participating in an RFP process - continue with the steps below to Log into Supplierforce Log into Supplierforce When your company information is entered into our system by a Salesforce employee, you will receive several emails. * Welcome to Supplierforce sent from Supplierforce - this welcome email contains important login information * Supplierforce Task ‘Please complete Full Onboarding’ is due - notification of pending task for full onboarding * Not required if only engaging in a RFP process * Document Signature Required sent from Salesforce eSignature via Docusign - initiates the process to sign the NDA Watch this 2 minute video or follow the steps below to log into Supplierforce: Dein Browser unterstützt keinen Videoinhalt. 0:00 / 2:26 Open Supplierforce email * Open the email titled Welcome to Supplierforce sent from Supplierforce. Note: Check your spam mail if you don’t see it. * Capture the User Name provided in the email - you will need this next time you log into Supplierforce * Select “Click here” in the email message. Create a new password * You will immediately be asked to create a password * Passwords must contain the following: * 20 characters * 1 uppercase letter * 1 lowercase letter * 1 special character * Enter your password and confirm * Click the Change Password bar to Save. * You will automatically directed to the Supplierforce home page Login Issues If you have issues logging in, please email vendorrecords@salesforce.com Reset your password * On the Supplierforce Login page, select Forgot your password? * On the Password Reset screen, enter your entire username (including special characters at the end) * You will receive 2 emails * One provides your User ID to log into the community; and * Another email provides you the ability to reset the password for that User ID * For more detailed instructions, refer to the Support section of the Supplierforce FAQs Supplierforce Home Page After logging in, you will land on the Home Page. The Home Page allows you to view important information regarding your account in one place: * Onboarding Tab: This tab guides you through the steps required to complete the onboarding process. * Cases Tab: Use this tab to submit cases to Salesforce Sourcing partners. You can also see the status of existing cases. * Events and Meetings: This calendar view shows upcoming meetings and events * Task List: View upcoming tasks assigned. Click a task to navigate to it. * Announcements: Use this section to see announcements shared from the Salesforce sourcing team. * Helpful Docs: Provides links to helpful resources. * Your Sourcing Partners: See your assigned sourcing partners in this section. * Discussions: Similar to Chatter, use this for quick communication regarding an account. Use @mention to chat. Complete Onboarding Account Details In this section, you will provide important account details to set up your supplier profile. Watch this 4 minute video or follow the steps below to set up account details in Supplierforce: Dein Browser unterstützt keinen Videoinhalt. 0:00 / 3:56 * From the Home Page select the Onboarding tab (top gray menu bar) * Select the Accounts tab * Complete each line * You will be asked to provide the following information: * Supplier Name * Supplier Tax ID * Address: If address is not found, select +New Address to add it * Federal / State Tax Reportability * Supplier DUNS Number * Doing Business As (DBA) Name * Invoice currency * Early Payment Program enrollment Note: Some details, like address, may already be filled out. Please review all information to make sure it is correct. If anything is incorrect, please update before saving. * Click Save -------------------------------------------------------------------------------- Create Contacts In this section, you will provide contact name(s) for correspondences such as invoicing, PO remittance. etc. You will be able to edit existing contact information and add new contacts. Watch this 2 minute video or follow the steps below to create contacts: Dein Browser unterstützt keinen Videoinhalt. 0:00 / 2:28 * Select the Contacts tab * Select Edit to manage an existing contact * Click on Add Contacts to add new contacts * Complete the information requested for each contact Pease note the following: * Is Primary?: Select this radio button (active) to mark this contact as a primary contact * Primary contacts can view bank and site information, as well as maintain other users in Supplierforce * PO Recipient: Check this box if this contact will receive purchase orders * Language: The selected language will display when that contact logs into Supplierforce * Remittance Contact: Check this box if the contact can receive remittance * Role: * All roles must be filled by at least one contact at the supplier * All contacts must have at least one role * Contacts may fill multiple roles (or all roles) * Assigning the correct contact roles allows Salesforce to directly correspond with the appropriate Contact for any follow up questions throughout the Onboarding process * If all roles are not filled, you will receive an error -------------------------------------------------------------------------------- Enter Bank Info In this section you will setup your electronic banking details for remittance payment. Salesforce processes payments via EFT such as ACH or Wire Transfer. International payments will always be a wire transfer. It is crucial your banking details are set up correctly for processing payments on time. Watch this quick video or follow the instructions below to add bank accounts: Dein Browser unterstützt keinen Videoinhalt. 0:00 / 4:38 * Click the Bank tab * Click on Add Bank to enter banking information Complete the required information and note the following: * Bank Account Name: Name to help identify your bank account (usually this matches your Supplier Name) * Note: There is a max character limit of 35 * Bank Account Holder Name: Your company’s name, ensure it matches the company’s legal name * Note: There is a max character limit of 35 * Account End Date: If you bank account has a set end date please add it, if not leave blank * Bank Branch Lookup: * Start by typing the name of the bank, if several banks appear with the same name, search by routing number * If needed, enter your routing number * If your routing number displays, select the bank name that appeared * If your routing number does not display, select +Add Bank Branch * Add Bank Branch * Enter all required information * Note: Some codes (ex: Swift code, BIC) require a specific number of characters. If you are prompted for more characters, fill in missing characters with "X" to satisfy the requirement. * Select Save * Intermediary Bank Details * Complete this section only if another bank will act on behalf of the sender bank * Select Save to add the bank -------------------------------------------------------------------------------- Set up Pay/Purchase Sites In this section you will setup Pay Sites and Purchase Sites. Let’s start by defining each: * Pay Site: A location defined by an address or Bank account to send a payment to * Purchase Site: A location defined by an address where goods/services can be ordered from Your Pay Site helps us determine where to send a payment and the Purchase Site ensures the PO is sent to the location where services/goods are rendered from. Note the following: * Site Type: Select either Pay Site or Purchase Site Note: You will make separate entries for pay and purchase sites * Address Lookup: * Start typing the address, if it displays in the results then select it * If the address doesn’t show in the results, select +New Address and complete required information * Hit Save Note: State/Province field is only required for the United States, Brazil, and Canada * Site Remittance Email: This is only required for Pay sites * Contact Lookup: Begin typing a contact and select name from the results * Click Save * Click on the Bank Site Association button in Red. * Select an active bank account to associate to the selected pay site Note: This is only required for Pay Sites. Purchase Sites do not require association. -------------------------------------------------------------------------------- Answer Tier 2 Questions In this section, you will answer a series of questions that help Salesforce evaluate the level of access you need in order to fulfill the services required. These questions are based on how your Salesforce Business Partner initiated supplier onboarding at first, for the type of goods/services required. Note: This section may not be applicable for all suppliers. Check out this quick video or review instructions below on how to answer Tier 2 questions. This step is required to submit all questions to Salesforce for review * Other Actions * Upload Attachment: If required or helpful, you can upload an attachment * Coming Soon: Select the Chatter icon if you have a question. This will be sent to an internal Salesforce teammate for review. -------------------------------------------------------------------------------- Upload Attachments In this section, you will upload legal documents that indicate your business is operating as per legal standards by your region/country. Note: The NDA must be signed before final submission of full onboarding. You won’t see submit button until NDA is signed -------------------------------------------------------------------------------- Submit Onboarding The final step in the process is to submit your onboarding information to the Salesforce team. Here is a list of commonly missed items from each tab: * Account * VAT Registration # * Supplier DUNS # * Contacts * Ensure all contact roles are assigned to at least one contact * Bank * Ensure bank information has been added * Sites * Pay Site (always required) * Purchase Site (if applicable) * Ensure bank has been associated * Note: Text at the top of this tab will tell you what is required * Questions * Ensure all questions are answered * Confirm you selected Finalize for each (or Finalize All) * Attachments * Include any required documents listed on this screen * NDA * Ensure your NDA has been signed (this is done via a separate email) Note: It may take up to 30 mins for the Submit button to appear after signing the NDA. To submit your onboarding information: * Select the Submit button * IMPORTANT: You must select Submit for your onboarding information to be received by Salesforce Note: It may take up to 30 mins for the Submit button to appear after signing the NDA. * Read the Terms and Conditions * Click on Accept to submit your onboarding information -------------------------------------------------------------------------------- Next Steps Here are the next steps after you submit your onboarding information: * The Salesforce Vendor Management team will review your submission and follow-up with any questions or if any further actions are required. * If we require any further information, you will be notified in Supplierforce via new Tasks or Chatter posts. You will also receive corresponding email notifications so you don’t miss any updates. * Once all items are approved by our Salesforce team, you will become an active supplier and be notified via email. The status bar in the Onboarding tab shows your current status as a supplier: * Supplier Action Required: You have not submitted your onboarding information yet * Internal Reviews: Salesforce is reviewing your submission * Active: You have been fully onboarded and are an active supplier -------------------------------------------------------------------------------- Complete Assigned Tasks In the event there is any additional information required to approve your supplier account, you will receive email notifications alerting you of pending task(s) for completion. If you don’t hear back on a case, please notify your business partner with the Case ID. -------------------------------------------------------------------------------- Updating Language Options Supplierforce users can update their language settings. Language settings are specific to that particular user only. the languages currently available include: * English * Japanese * Portuguese (Brazil) * Chinese (Traditional) Note: Once the language preference has been updated, Supplierforce will display in the selected language moving forward.
