Mar 6, 2024 CTO, Online Tabletop Gaming Company Anonymous * Gaming * Menlo Park, California * 1-10 Employees * Phone Interview * Verified Waverly Software has delivered a fast and functional platform that meets the client's needs, marking the project's success. They're highly collaborative and responsive, working extra hours to fix bugs. Moreover, they jump into meetings when needed, using Jira, Google Meet, and Slack to collaborate. A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript. BACKGROUND Introduce your business and what you do there. I’m the CTO of an online platform for tabletop role-playing games. OPPORTUNITY / CHALLENGE What challenge were you trying to address with Waverley Software? We needed help with our platform's development. SOLUTION What was the scope of their involvement? Waverley Software is the main developer of our platform. Their team has provided us with software development, from proof of concept to full development and launch, to help us create a web-based app that uses Next.js as the main technology stack. They've focused solely on development; they're not doing design for us. The platform's main features include payment processing, a marketplace, messaging capabilities, user account management, and reviews. What is the team composition? We've worked with three teammates from Waverley Software. How did you come to work with Waverley Software? One of my co-founders had used them before. How much have you invested with them? We've spent between $250,000–$300,000. What is the status of this engagement? We began working together in February 2023, and we’re still working with them. RESULTS & FEEDBACK What evidence can you share that demonstrates the impact of the engagement? The platform that Waverley Software has developed for us is quick, works well, and is exactly what we need for the stage we're at. How did Waverley Software perform from a project management standpoint? We handle project management on our side, so we don't expect Waverley Software to do it. Nonetheless, they've performed very well in that regard. As expected, there are always challenges in these kinds of projects. Still, their team has been really responsive and jumps on Slack quickly if needed. They've even worked evenings and weekends when necessary to get bugs fixed, which is awesome. As for collaboration tools, we use Jira for project management. Moreover, we have stand-ups four times a week using Google Meet and Slack. Are there any employees from the service provider's team that you would like to give a shout-out to in this review? Serhii (Engineering Management Director) is absolutely excellent, and obviously, Matt (President & CEO) is very good as well. What did you find most impressive about them? Working with Waverley Software is more like having employees than contractors. They go above and beyond what I would expect from a service provider. Are there any areas they could improve? There's nothing they could improve on; I'm very happy with them. Do you have any advice for future clients of theirs? Stay on top of things and ensure that the engineers you get are the right engineers for the task. The team communicates effectively through Slack, Zoom, and Jira. Their ability to quickly find skilled resources stands out. A Clutch analyst personally interviewed this client over the phone. Below is an edited transcript. BACKGROUND Introduce your business and what you do there. I’m a senior director of engineering for the test group at a software company. We build tools for developers and QA engineers around testing and API products. OPPORTUNITY / CHALLENGE What challenge were you trying to address with Waverley Software? We needed to get help quickly for some of our projects. SOLUTION What was the scope of their involvement? Waverley Software provides us with engineering staff augmentation. Initially, we had a discovery process where we told them what skills we needed and the backgrounds we were looking for. From there, they've provided us with some candidates, and we've had a back-and-forth to identify the engineers we need. We’ve worked on 5–6 efforts with Waverley Software, where we’ve added their engineers to our internal teams. They mainly provide us with software development and QA work. Their involvement varies depending on the internal team they’ve joined. Some resources work side by side with our team, while others work as a separate development team to whom we can assign complete tasks. As for their skill sets, they also vary by project. For example, one of our teams needed frontend UI developers while another was more hardware and cloud-related; Waverley Software has found resources for the specific tasks we require. The projects they’ve helped us with include releasing a new product, updates, and introducing a new QA process. What is the team composition? We’ve worked with 20–30 software and QA engineers, including frontend and network engineers. On the 5–6 projects we’ve worked on, each team has had 4–6 engineers from Waverley Software, with 1–2 teams being a bit bigger. We also work with engineering leads, site managers, and account representatives. How did you come to work with Waverley Software? Some of our leadership had a previous relationship with Waverley Software. They were interesting to us because of the different locations they offer. We have a couple of teams in the US, so having Latin America as an option with Waverley Software would work well regarding the time zones. We were also interested in having remote teams in Europe and Asia, and Waverley Software’s locations in Romania and Vietnam would also be helpful for time zones. What is the status of this engagement? We started working together in January 2022, and the engagement is ongoing. RESULTS & FEEDBACK What evidence can you share that demonstrates the impact of the engagement? Waverley Software provides strong results, and feedback from our internal team has been positive. Waverley Software has made improvements to our processes and helped us meet deadlines. For example, one team has been critical in helping us release a new product on time. On another project, Waverley Software joined a release process with a backlog of updates; we were a couple of months behind. Since they joined, they've been able to streamline that process to a predictable release every week. As for QA, they've introduced new processes that significantly decreased the number of bugs and defects on our products. The discovery phase has helped make sure we had the right candidates to join the team. Overall, Waverley Software's services and expertise enable us to improve and allow our core engineers to complete tasks they previously didn't have time to do. How did Waverley Software perform from a project management standpoint? They meet deadlines and stay within the budget. Waverley Software has been really good at helping us find the right balance of expertise while respecting our budget. We use Slack and Zoom for communication. For our development teams, we use Jira for project management; the Waverley Software engineers can track their tasks there. Additionally, we have biweekly communication with the engineering leads and account representatives to raise any issues and discuss progress. For the most part, communication is easy. Although some of our integrated teams have faced challenges with the language barrier, we've overcome those challenges. When considering candidates, we looked at communication skills, and while most Waverley Software engineers are very strong in this regard, some have struggled a bit more. Still, we've found the right way to communicate, sometimes by typing things out through Slack. If we have issues or constructive feedback and need to replace any engineer, Waverley Software is always quick to help us replace that resource. We usually meet with the account representative or the person leading the particular site, and they're one step ahead. For example, when we contacted Waverley Software's manager in Bolivia about a teammate who wasn't delivering, they were already working on finding a different resource. What did you find most impressive about them? We appreciate that Waverley Software has been able to help us with skill sets that are hard to find. The short time they've taken to staff our teams is also impressive. Do you have any advice for potential customers? Communicate with Waverley Software's account representatives. Any time we have feedback or need a change, frequent communication is really important, as is having a relationship with site representatives in Waverley Software's different locations. I’m the co-founder and SVP of engineering at NTRINSEC Inc. We’re a software company that aims to provide new workflows for knowledge management systems to better manage cryptographic keys through automation. OPPORTUNITY / CHALLENGE What challenge were you trying to address with Waverley Software? We needed a team of experts to help us develop a web application. We needed a certain level of expertise at a price we could afford. SOLUTION What was the scope of their involvement? Waverley Software has designed and developed a web application. We had an initial code and design, and they helped us complete the app. We laid down our expectations during the discovery phase and asked Waverley Software to interview their development team to choose the right fit for our project. I was looking for a partner with a product design mindset to help with our app’s UI/UX design. We gave Waverley Software our initial Figma diagrams, and they used them as a foundation to finish the app’s design. We discussed the product’s functionalities, and Waverley Software came back with several design proposals. Waverley Software used Reach.js and Node.js for frontend development. We needed someone who understood how data is brought out of the database and organized so that the frontend could consume it properly. Our app features a user onboarding process, which includes a component of our software that needs to exist on the customers’ frontend, so there was an agent server deployment model. Through the UI’s design, users needed to understand what they installed. What is the team composition? I worked with a total of five teammates from Waverley Software. On the business side, Matt (President & CEO) was my primary point of contact. I also worked with Tanya (VP of Delivery) and Alona (IT Recruiter), our go-to person and resource manager. We had two developers working full-time on our project. How did you come to work with Waverley Software? I had previously worked with Waverley Software in 2015, but I wasn’t a decision maker at the time. We found them through word of mouth. I contacted Max again because we were facing a similar challenge. Now that I’m a decision maker, Waverley Software was one of three companies we spoke to when looking for a service provider. One of the other companies we interviewed offered us a team extension approach. However, we’re a startup and needed staff augmentation and teammates that could work daily with our team. I chose Waverley Software because when I spoke with Tanya, she seemed experienced and knowledgeable. She also gave me accurate expectations, timelines, and costs. How much have you invested with them? We spent around $100,000–$150,000 on our total engagement with Waverley Software. What is the status of this engagement? We started working with Waverley Software in October 2022. Unfortunately, our startup wasn’t having the expected success, and we had to end our relationship with Waverley Software in April 2023. RESULTS & FEEDBACK What evidence can you share that demonstrates the impact of the engagement? Waverley Software helped us improve our development cycle significantly. Before working with them, we had trust issues and were slow to implement functionalities. However, we quickly got through team estimation when Waverley Software came in. Moreover, Waverley Software needed to utilize many core software and quickly latched on to our project’s requirements. They also made it easy for me to see the prototype and understand how it would work. The wireframes were functional, which was also why Waverley Software could implement them easily. Moreover, Waverley Software was good at taking my functionality requirements and designing the complete UI/UX. We discussed their proposals’ pros and cons, and when I selected a design, they implemented it wonderfully. Waverley Software understood my requirements and was consistent. How did Waverley Software perform from a project management standpoint? Waverley Software had competitive costs and stayed on budget. We worked under the Agile methodology and used Jira for project management. We communicated with Waverley Software through Slack and Zoom, and they were present at our company’s daily stand-ups. They received tasks directly from us and acted as an offshore development center working with a separate engineering manager — Waverley Software was pretty much part of our team. What did you find most impressive about them? I was most impressed with how Waverley Software let us engage with their developers since we had a lot of say in selecting our team. They allowed us to interview their developers and select who worked on our project — I liked that because of our staff augmentation requirements. Moreover, Waverley Software’s communication style was upfront and set them apart from their competitors. Are there any areas they could improve? I can’t think of anything for Waverley Software to improve. There were some bumps during our engagement, but they worked through everything. Do you have any advice for potential customers? I recommend to research different companies and have a clear understanding of your requirements so that you can lay down your expectations properly. Our company is a recruitment platform that connects student organizations with financial institutions. These financial institutions can recruit out of these schools clubs and search for candidates based on different data points. OPPORTUNITY / CHALLENGE For what projects/services did your company hire Waverley Software, and what were your goals? We came in with a very simplified MVP. It was built, but had a lot of bugs and was not ready to be rolled out to users. We knew we needed to fix it up so we presented it to Waverley to come in and add key features such as a club President Function, a scraping tool that would populate the site with jobs, and entirely re-designing the UX. SOLUTION How did you select this vendor and what were the deciding factors? We selected Waverley because of their core values and their organization. They communicate effectively and are always trying to provide the most clarity on timelines, budgets, and feasibility of projects. From the very beginning we knew they cared about the project and wanted it to succeed. Describe the scope of work in detail, including the project steps, key deliverables, and technologies used. Our first project was a scraping tool built with Python to crawl financial institutions so that our job board was consistently populated. Our site is built with PhP in a larval framework, so we had a PHP developer fix up bugs in our initial MVP, make the data more dynamic so that recruiters and admin can see each user. Recently we have just finished our Club President feature which is another user that controls their club page and all members within it. How many people from the vendor's team worked with you, and what were their positions? We have had a variety of positions work for us in the Waverley Team. Henry was a Python developer who built out our scraping tool. We were very happy with Henry's output as he was able to generate a clean layout of all jobs that we can easily incorporate into our data base. Our PHP engineer is Fabián. He has been apart the project since the beginning has had to the responsibility for all feature additions to the site and all bug cleaned up from our MVP. Andres is our UX developer who came onto the team a couple weeks ago. He is using Figma to redesign our interface and then is going to code the front end using CSS, HTML, and JS. Our Account Manager, Franz C has been the backbone to the team. He is very technically knowledge and is able to meet deadlines, budget caps, and is very thorough in communication during live meetings and slack. We have then worked with more senior people Mark, who helped us get our feet off the ground and started on the project. As well as Sergey, who has been overseeing tech operations in the project. RESULTS & FEEDBACK Can you share any measurable outcomes of the project or general feedback about the deliverables? We have not launched our site to users yet, but will be doing that in the coming months. Our initial product that we presented to Waverley in September looks almost nothing like it. They have redesigned and enhanced the functionalities of our site. We are very excited to onboard users. Describe their project management style, including communication tools and timeliness. We have a slack chat with all the developers and Account manager. We have 1-2 video chats a week with developers and our Account Manager (Franz). He makes sure the videos are concise and everyone leaves with no questions un-anwsered. We use figma to track UX progress and use JIRA for bugs and feature requests. We are in communication daily usually via slack and send emails for more formal contracts for billing, budget etc... What did you find most impressive or unique about this company? We're most impressed with how professional Waverley Software's staff is. Franz, our account manager, has pushed our team forward every week. We don't need to worry about budget, timeline, or whether the work is being done according to plan as Franz has that all covered. He communicates everything and allows us to just focus on product vision. They hit deadlines and if things arise they communicate.
