STATEMENT OF WORK

At B2B/2GO, we believe in a thorough approach that provides our clients with as
much engagement as they request. While our entire team will be working on your
event platform, we will assign a project manager who will be your main point of
contact.




IDENTIFICATION OF THE NEEDS

While we promise to do all the hard work for you, you will remain the decision
maker. Therefore, we will ask you to gather the information about your event.
It's easy, you simply need to complete an online form, and provide any document
that might be needed for the event, like a banner, or the schedule. The project
manager will guide you through every step, and share with you a procedural
guide.



DESIGN AND IMPLEMENTA-TION

Like a company website, the platform needs to communicate the brand identity. We
will make sure to prepare the platform for you with specifically what you asked
for. This process includes integration of branding, functionality and content.



TESTING AND TUTORIALS

We’re almost there. Your platform is built and ready to launch. But before that
happens, we want to make sure you approve the result, and understand every bit
of it. In addition, we need to collaborate on a marketing strategy. Templates
emails will be shared by B2B/2GO to Department of Canadian Heritage to be
reviewed.



LAUNCH


USER JOURNEY (BEFORE THE EVENT)

We recommend having the platform live 2-3 weeks prior to the event.
User will each have a detailed profile, consisted of client-provided data
collected during event registration or collected directly on the platform. The
user can register to activities offered on the platform, and start networking
using out matchmaking technology. Your participants get in touch with each other
and set up meetings via the platform. Networking is starting through the chat
system, and users are building their personal event agenda which can be exported
into a PDF, or on any e-calendar.



USER JOURNEY (DURING THE EVENT)

The day of the event, everything runs smoothly. Every participant takes full
advantage of the event thanks to their customized agenda. Different reminders
are sent (sms, emails) and make it easy to stay on time. Plus, B2B/2GO will
ensure that every meetings take place by calling anyone who is late.



USER JOURNEY (AFTER THE EVENT)

The experience continues after the event. Users can continue the conversation
with other attendees, save networking data, and watch recordings of the
activities (if made available).



CLOSING THE PLATFORM

Receive a post-event report detailing the use of the platform: number of users,
participation rates, list of scheduled meetings, number of meetings held, etc.

HOW DO PARTICIPANTS ACCESS THE PLATFORM?

Our platform offers two registration options:

 * Platform link: unlimited access! The platform unique hyperlink can be shared
   anywhere.
 * Registration lists: controlled access! We can send a unique,
   non-transferrable invitation links by email to designated participants, which
   are pre-determined by the clients.


HOW LONG SHOULD THE PLATFORM BE LIVE?

You can offer your participants an ongoing experience; before, during and after
your event. Give your participants the opportunity to prepare their attendance.
This will allow your attendees to optimize their participation. After the event,
they will even have the opportunity to follow-up with their new contacts. As an
event organizer, you will also find many advantages as these allow you to share
industry news, program developments and privileged sponsorships with your

WHEN SHOULD WE START WORKING ON THE PLATFORM?

Ideally, we recommend a project kick off 2 months prior to the event. That way,
we are not rushed. You will have a lot of time to familiarize yourself with the
platform before it goes live. However, we're also able to move very quickly!
We've had platforms ready to go live in just 2 days!

   workshops will be transmitted live, but the content is to be defined and

1.2 Provide an unique event platform to the client
 * B2B/2GOdoes the design & Implementation of the platform (customization,
   uploading the content, activating features, testing)
 * B2B/2GO provides a training and a demonstration webinar on how to use the
   platform to seek input on possible amendments to platform functionalities.
   The client will receive all necessary administrator codes to access the
   platform and follow its progress. The client will be permitted rounds of
   corrections. Some information can be updated after the launch of the platform
 * Department of Canadian Heritage familiarizes with the platform


1.3 Determine a communication and promotion strategy
Department of Canadian Heritage and B2B/2GO need to collaborate in the promotion
of the event platform.
 * B2B/2GOshares a communication plan including various email communications.
 * Department of Canadian Heritagereviews the communications, until final
   approval.
 * B2B/2GO shares different guides for key players (sponsorships, conferences,
   matchmakers)








DELIVERABLE

Milestone 2 - Actions to take while the platform is live

2.1 Platform Launch
 * B2B/2GO can send the access to the platform to a designated lists of
   participants.
 * Department of Canadian Heritagewill be responsible for sending B2B/2GO the
   lists of designated participants. Only those included in these lists will
   receive access to the platform. Users can edit/complete their profiles, which
   have been preloaded into the platform by vendor.
 * Another option is Department of Canadian Heritage sends an email to an
   unlimited list of people, including the link directing to the platform
   registration form (unique link provided by B2B/2GO).
   . We advise including a short text explaining the platform (text provided by
   B2B/2GO).
 * B2B/2GOprovides an informatory video, at least one week before the mission,
   for registered companies on how to access and use the B2B platform and how to
   upload company profile information.
 * The platform shall be available during the time of the project.


2.2 Promotion and follow-ups
 * B2B/2GO sends communications at an appropriate time, for each user.
 * B2B/2GOprovides troubleshooting for users and leads ongoing messaging to
   participants regarding matchmaking opportunities and event milestones.
 * B2B/2GO provides technical support for all users by chat, email and phone.
   Our staff will be responsible for: Answer all queries regarding the platform,
   Help users complete their profiles, Ensure activity on the platform



2.3 Overseeing the platform activity
 * B2B/2GO monitors the platform activity. Are the registrations on the platform
   increasing at the desired rate? Are all conferences equally popular? Are
   users booking meetings on the platform? This analysis will be made on a
   day-to-day basis
 * B2B/2GO schedules client follow-ups on a weekly basis. Clients can also
   supervise the platform activity with their client profiles. Data detailing
   the platform activity can be found on the platform at all time.










DELIVERABLE

2.4 Planning virtual activities
All users will receive emails with the necessary information to participate in
activities on the platform. However, training sessions will be required to
ensure all activities of the event run smoothly the day of.
 * B2B/2GO plans the networking: VIP participants? Or participants from
   governmental fields, who may be using computers with restrictive access or
   firewalls? Talk to your B2B/2GO representative! We can provide tutorial
   sessions with solutions to these situations.
 * B2B/2GO plans the technical needs of the webinars: We offer a training
   session (dry run) for the speakers of conferences. This training session
   allows speakers to become familiar with our virtual rooms. A PDF guide will
   be sent to speakers after their training session.
 * B2B/2GO ensures that all presenters and speakers are familiar with the online
   platform prior to the sessions in order to guarantee the smooth functioning
   of the program.



2.5 Overseeing the event
 * B2B/2GO monitors all activity on the platform and ensure meetings and
   activities are held on time
 * B2B/2GO answers to all queries regarding the platform (chatbot, email and
   telephone)
 * B2B/2GO manages the streaming of the session
 * B2B/2GO manages the virtual meeting rooms and check-in guests
 * B2B/2GO assists and participate throughout the event to ensure the smooth
   functioning of the program. This includes the live availability of IT support
   in case of technical problems.
 * B2B/2GO can also reschedule /cancel meetings, book additional meetings,
   confirm agendas, etc.






Milestone 3 - Actions to take after the event
The platform remains live after the event. Participants may finalize their
networking through the chat, save the profiles in PDF formats, and watch the
recordings of the conferences (if made available).
 * B2B/2GO makes the recording of the sessions available on the platform (if
   needed)

The purpose of the security requirements is to achieve the following objectives
while respecting the freedom, privacy and confidentiality of the agency's client
information: Ensure the safe, responsible and ethical use and management of
information assets by staff members, raise awareness and guide each member of
the community about their responsibilities in protecting information assets
whose confidentiality, integrity and availability must be ensured.



Confidentiality
We ensure that our communication and archiving practices are secure and remain
confidential. B2B/2GO takes the necessary measures to ensure the protection of
the confidentiality of its clients' information, in order to avoid its
disclosure, publication or dissemination. B2B/2GO has implemented security
measures, operational processes and its systems operating processes to protect
its customers' information, during its use, processing, storage, distribution
and destruction according to its sensitivity, against unauthorized access,
deterioration, phishing, loss or theft.

Each B2B/2GO employee agreed that for the duration of his employment and any
time after the end of it, he will not disclose directly or indirectly to a third
party confidential information, nor will he use such it for its own personal
benefit. In addition, the employee undertakes to take all the reasonable
measures to protect the confidential information and to protect the
confidentiality of his password, according to the best standards in the matter.
The employee prevent any access to the provided equipment or its contents by
anyone other than the himself, another employee or officer authorized to have
access to it.



CLOUD SERVERS

A cloud service is used for hosting data and applications : Projet Cirrus |
Premier Cloud in the province| operated par Micro Logic. The storage servers and
the backup site are located in Montreal and Quebec - Tier-III certified data
centers.
Certifications: ISO27001 et SOC 2 Type II (full reports can be shared).



ACCESS

The site is accessible using a username (email) and a password. We use the
double opt-in process to reduce the risk of identity theft during registration.
Passwords are hashed using a strong, irreversible hashing algorithm (and a
random salt value). Access to the contents of the site cannot be indexed by
Google, with the exception of the home page. Google cannot then display page
content.



EMAILS

The e-mail messages automatically generated by the site use the services of the
powerful online service of Mailgun. Messages sent with this tool are trusted and
recognized by government and corporate email systems. By having a unique IP
address, we avoid being associated with a blacklist because of a user sharing
the same IP address.

CASE STUDY


WESTERN INNOVATION FORUM 2019 - 2022

Annual event, three full days in march (4 editions with B2B/2GO)

B2B/2GO was to provide an event registration, appointment scheduling tool, and
to broadcast webinars and panel discussions. The event promotes western Canadian
capabilities in the aerospace, marine, and defence industries. It focuses on
connecting innovators, companies and researchers with business and
innovation-driven investment opportunities.

An expanded B2B/B2G meeting program
This meeting program included prime contractors (OEM), innovative western
Canadian companies, post-secondary institutions, and relevant government
representatives. The presence of OEM companies necessitates particular attention
because they work in very secured environments. Tests were made with each
representative even if most of them could access the platform without any
assistance. Some simply needed to get approval from their IT department, which
they always get with B2B/2GO. Also, since everyone wants to meet with them, they
appreciated a lot the ability to organize their schedule and have pre-determined
time slot for the discussions. It gave them the possibility to have efficient
meetings, instead of, for example, being overwhelmed by people trying to get to
them in a networking reception. In addition to that, their email and phone were
not visible to all. If a meeting didn't lead to potential business partnership,
the discussion ends at the event.

Presentations & panels from industry and government leaders
In 2021 and 2022, these had to be held virtually. The goal was to make these
session look like a professional TV show, even if presenters were confined at
home. B2B/2GO had the technical responsibility for the virtual conferences.
Therefore, a guide was shared to the client and Tips and Tricks were sent to
speakers in a PDF format. A technical scenario was prepared for each activity
and we provided the links to the virtual environment and broadcast the content
on the event platform. In order to familiarize themselves with the virtual
environment of the platform, speakers were invited to a rehearsal. A member of
our team explained some of the possible options during the conference:
management of questions from participants, how to activate or deactivate your
microphone / camera, etc. We were also in charge of the green room during the
live event. Recordings were made available on the platform after the event in
case some participants missed it.

CASE STUDY


CANADA-AFRICA CLEAN-GROWTH SYMPOSIUM

15-16-17 March 2021

B2B/2GO was to design the platform in order to provide an event registration, an
appointment scheduling tool and Business-to-Business (B2B) matchmaking services
and live bilingual webinars.

With the African Continental Free Trade Area Agreement now in force, the
symposium offers new opportunities for Canadian and African companies to
showcase capabilities, technologies and leadership in the clean growth sector.
The B2B track of the symposium foster increased collaboration between key public
and private sector stakeholders. Canadian and African companies participating in
the Symposium access new commercial opportunities on clean growth solutions in
various sectors, including green infrastructure, sustainable resource
development, water treatment, clean power, and agriculture.

More than 700 participants for this 3-day event – 4 hours of virtual webinars
and virtual B2B & B2G meetings each day.

EVENT’S OBJECTIVES
Fostering Sustainable and Inclusive Growth through Innovative Partnerships Clean
growth is a significant opportunity across all sectors — vital to the post-COVID
recovery and global sustainability. This was a  signature event co-hosted by
Canada, Ethiopia and Senegal and they explore innovative ways to grow our
economies reduce emissions and build resilience to climate change.

CASE STUDY


DEFSEC ATLANTIC

15-16-17 March 2021

DEFSEC Atlantic, presented by the Atlantic Canada Aerospace & Defence
Association, is a major networking opportunity for the Aerospace, Defence and
Security industries - the second largest of its kind in Canada. Focused on
showcasing Atlantic Canadian opportunities, the show's worldwide reach creates
partnership potential for all attendees.

At this hybrid edition, participants could attend the networking meetings in
person at the event or in our online meeting rooms on the platform.  The
platform was used to plan meetings and select attendance type. There were 3
types of meetings:
 * On site meeting: We automatically assigned an in-person meeting rooms in our
   B2B Zone (floor plan available online).
 * Hybrid meeting: We automatically assigned a virtual room directly available
   on the user personal agenda. The person on site met us at B2B Info desk, and
   a station with a computer was available if needed
 * Virtual Meeting: We automatically assigned a virtual room directly available
   on the user personal agenda.


Each meeting request could be accepted or declined. Once confirmed, an email was
sent and the meeting was added to their schedule. Meetings could also be
cancelled, or rescheduled.

During the event, B2B/2GO had access to a dashboard to see who is in each
virtual meeting room. We were also on site at the event to host the B2B info
desk and B2B Zone. This allowed us to take attendance. If there was a no-show,
we called the participant who was late to avoid a missed opportunity. We also
communicated with the person who was waiting to share the status of the
situation.
We also offered support to those who needed it.
Since it was a first for this client, each user had to learn how to use the
platform through personalized emails (reviewed by the client), tutorial videos,
and support by chat, phone and email.

FÉDÉRATION DES TRANSPORTEURS D'AUTOBUS

Fall 2020 and 2021 (2 editions with B2B/2GO)

Bienvenue Québec is an essential event for the Québec group tourism industry.
With over 500 participants, it has successfully developed a "speed dating"
formula for the tourism industry leading to 8000 business meetings over three
days. This formula, consisting of 12-minute predetermined and computerized

agencies, receptive agencies, and tour operators to include them as a
destination in their travel packages.

In 2020, we got the mandate to create their first virtual edition as an
alternative to the trade show they usually have. Instead of putting energy in
creating a 3D distracting experience, B2B/2GO offered a clear and easy bilingual
exhibitor profile. Participants can create a profile in just a minute!
Profiles are only visible to those who are registered.
 * Full contact information (Picture, name, professional title, email, address
   and phone number)
 * Company information: Logo, website, social media, descriptive paragraphs,
   promotional video, PDF file, etc.
 * Keywords representing the demand/offer of the sector
 * Since this industry covers many different types of organizations, unique
   questions were added to the form
 * Possibility to interact through a private chat system, and book a meeting
   through our scheduling system
 * Users are tagged as online/offline to facilitate the networking.
 * Experts sellers had enhanced visibility on the home page.


Once registered on the event platform users had access to the list of
participants, and could network. However, to avoid frustration, there were
restrictions based on user types. For example, Sellers were not able to see each
other. They could only see the buyers' profiles.

Participants could also watch webinars and participate in round table sessions.
