SCOPE OF THE PRIVACY POLICY. Coveo Solutions, Inc. and its affiliates (“Coveo” or “we”) are committed to protecting the privacy of individuals who visit the Coveo’s Web sites (“Visitors”); individuals who register to attend the Coveo’s webinars, events or training sessions (“Attendees”); and individuals who register to use the Services as defined below or who use the Services (“Customers”). This privacy policy (“Privacy Policy”) describes Coveo’s privacy practices in relation to the use of Coveo’s Websites (“Web Site”) and the related products and services offered by Coveo (the “Services”). Customers, Attendees and Visitors will all be referred to as “you” in this Privacy Policy. 2. WHAT INFORMATION WE COLLECT 1. Non-personal information. We may collect “non-personal information”. For the purpose of this Privacy Policy, “Non-Personal Information” means data in a form that does not permit direct association with any specific individual. The following are some examples of non-personal information that we may collect and how we may use it: 1. We may collect information such as occupation, language, zip code, area code, postal code, unique device identifier, location and the time zone where a Coveo product is used so that we can better understand customer behavior and improve our products, Services and advertising. 2. We also may collect information regarding customer activities on our Website and from our other products and Services. This information is aggregated and used to help us provide more useful information to our customers and to understand which parts of our Website, products and Services are of most interest. Aggregated data is considered non-personal information for the purposes of this Privacy Policy. 2. Personal Information. You may be asked to provide Personal Information to Coveo. For the purpose of this Privacy Policy, “Personal Information” means data that can be used to uniquely identify or contact a specific natural person. 1. Registration. Most of the time you will browse the Website without registering with us or creating an online account. However, in order to access certain resources or services via the Website , you will need to register with us. This may include situations where: (a) you are using the “Contact Us” form on the Website; (b) you download content in the resources center; (c) you subscribe to receive Coveo’s blog update; (d) you contact Coveo for a demo of the Services; (d) you contact Coveo for an event or a webinar or; (e) you enroll in Coveo training program. In order to register and create an online account, we collect certain personal information about you such as: your first and last name; your telephone number; your email address; you job function/title; your country; your organization name and size; your location; and whether or not you are acting on behalf of a current customer. 2. Navigation. When you visit our Web Site or use the Services, we will automatically collect navigation and clickstream data, HTTP protocol elements and search terms. We also collect information through the use of cookies as described in Section 5 below. 3. Customer Data. Coveo Customers may electronically submit data or information to the Services for hosting and processing purposes (“Customer Data”). Coveo will not review, share, distribute, or reference any such Customer Data except as provided in the Coveo Customer Agreement, or as may be required by law. In accordance with the Coveo Customer Agreement, Coveo may access Customer Data only for the purpose of providing the Services, improving the Services or preventing or addressing service or technical problems or as may be required by law. When purchasing the Services, Coveo may require you to provide the Company with financial qualification and billing information, such as billing name and address and the number of employees within the organization that will be using the Services. Coveo may also ask you to provide additional information, such as company annual revenues, number of employees, or industry. 4. Use of our Services. Coveo may also collect information about your use of the Services some of which may qualify as Personal Information. 5. Personal Information collected from other sources. Coveo may also collect Personal Information about you from other sources, including from third-party providers from whom we have purchased contact lists. This may include your first name and last name, your job position, your professional email address or your professional phone number. 6. Events. Coveo may also collect Personal Information about you at events in which you and Coveo participate. This may include your first name and last name, your job position, your professional email address or your professional phone number. 7. Voluntary disclosure. You may voluntarily submit information when you use our Services (filling out a form, using Coveo’s chat) which may qualify as Personal Information. 8. Third party applications. You may choose to connect with third-party applications when you use our Services, such as YouTube. In those circumstances, we will process your Personal Information (the email address you use in order to access to our Services) in order to enable your use of the third-party application through the Service and in accordance with this Privacy Policy. Your use of third-party applications shall also be subject to the third-party’s privacy policy like, for instance, the Google Privacy Policy (http://www.google.com/policies/privacy). 3. Sensitive Data. 1. Personal Health Information. Unless otherwise agreed upon, you shall not submit to Coveo (or use the Services to collect) any patient, medical or other protected health information regulated by HIPAA or any similar federal or state laws, rules or regulations. You also acknowledge that, unless otherwise agreed upon, Coveo is not acting as your Business Associate or subcontractor (as such terms are defined and used in HIPAA) and that the Services are not HIPAA compliant. “HIPAA” means the Health Insurance Portability and Accountability Act, as amended and supplemented. 2. Payment Card Information. Unless otherwise agreed upon, you shall not submit to Coveo (or use the Services to collect) any information with respect to a payment card, the account holder’s name, account number, service code, card validation code/value/number, PIN or PIN block, valid to and from dates and magnetic stripe data and information relating to a payment card transaction or any financial account number, with or without any code or password that would permit access to the account (such as bank account numbers and debit or credit card number), except as necessary for the payment of your Order. You also acknowledge that, unless otherwise agreed upon, the Services are not compliant with the Payment Card Industry Data Security Standard (“PCI DSS”). 3. HOW WE USE YOUR INFORMATION. The information we collect allows us to: 1. Provide the Services; 2. Answer your questions; 3. Keep you posted on Coveo’s latest product announcements, software updates and upcoming events; 4. Provide you with information, resources, products or services that your organisation requested from us; 5. Provide you with tailored advertising like, for instance information regarding the Services or events promotions, or information regarding the Services that may be of interest to you, based on our legitimate interests; 6. Assess and improve your customer experience; 7. Assess new customer opportunities, based on our legitimate interests; 8. Send you customer service-related communications, including online services; 9. Provide technical product support to our Customers and to enhance Customer technical product support services; 10. Deal with communications that you send to Coveo; 11. Inform you of updates for our products; 12. Request your feedback; 13. Complete and support the current activity, Website and system administration, research and development, and to improve the navigation and content of the Website; 14. Help us develop, deliver and improve our products, Services, content, customer communications and advertising; 15. For internal purposes such as auditing, data analysis and research. If you don’t want to be on our mailing list, you can opt out anytime here. We may use, transfer and disclose Non-Personal Information for any purpose. If we combine Non-Personal Information with personal information, the combined information will be treated as personal information for as long as it remains combined. Coveo may use such combined information to provide and improve its products, services, content and advertising. 4. COOKIES AND OTHER TECHNOLOGIES. The Web Site may use “cookies”. These technologies help us better understand user behavior, tell us which parts of our Web Site people have visited and facilitate and measure the effectiveness of advertisements and web searches. We treat information collected by cookies as Non-Personal information. However, to the extent that Internet Protocol (IP) addresses or similar identifiers are considered Personal Information by law, we also treat these identifiers as Personal Information. Liability for onward transfers. Coveo uses a limited number of third-party service providers to assist us in providing our services to customers. These third party providers assist with the transmission of data, and provide data storage services.
