FREQUENTLY ASKED QUESTIONS

More questions? We’re here to help.

How does email tracking work?
Email tracking tools add an invisible image of one pixel inside the emails. This
pixel image is loaded when the recipient opens the emails, allowing you to know
when it's opened.

Other information can be collected when the image is loaded such as the device
or browser used (found from the user agent) or the location (found from the IP
address).
How can I track email?
1. Install MailTracker Chrome extension.

2. Compose and Send Your Email: After the installation, compose your email as
usual, but before sending it, enable the email tracking feature provided by
MailTracker.

3. Tracking Data: Once the email is sent, MailTracker will start monitoring the
recipient's interactions with the email. This include tracking when the email is
opened, how many times it's opened.

4. Real-Time Notifications: You'll receive real-time notifications when the
email will be open for the first time.

5. Analyze and Follow Up: Use the tracking data to analyze the recipient's
engagement with your email. Based on this information, you can tailor your
follow-up approach and timing.
How to follow-up email using email tracking?
Monitor Engagement: Keep a close eye on the email tracking data to see how the
recipient interacts with your email. Note how many times they open the email, if
they click on any links, or engage with the content.

Assess the Recipient's Level of Interest: The recipient's behavior can give you
insights into their level of interest or engagement with your message. Multiple
opens may indicate they found the content intriguing, while lack of engagement
might suggest a lower level of interest or busy schedule.

Tailor Your Follow-Up: Based on the recipient's behavior, customize your
follow-up approach:

High Engagement: If the recipient has opened the email multiple times or engaged
with specific content, it shows a strong interest. In this case, you can be more
proactive and direct in your follow-up. Consider mentioning that you noticed
their interest and ask if they have any questions or need further information.

Low Engagement: If the recipient has not opened the email or shown minimal
engagement, a more gentle and subtle follow-up might be appropriate. You can
acknowledge that you sent the email and ask if they received it, offering to
resend it if needed. Alternatively, you can rephrase your initial message to
make it more appealing.

Timing: Consider the timing of your follow-up based on the recipient's behavior.
If they have recently opened the email multiple times, it might indicate current
interest, and you can follow up sooner. If the engagement was in the past, wait
a bit longer before following up.

Personalization: Use the insights gained from email tracking to personalize your
follow-up. Reference specific sections of the email they engaged with or address
any concerns they might have raised.

Respectful and Professional: Always be respectful and professional in your
follow-up, regardless of the recipient's behavior. Avoid being pushy or
aggressive, as it could lead to a negative impression.

Consider Other Channels: If you notice limited email engagement, consider
reaching out through other communication channels (e.g., phone call) to increase
your chances of connecting with the recipient.

Remember that email tracking provides valuable data, but it's only one part of
the follow-up process. Building meaningful relationships and providing value in
your communications are essential for successful follow-ups.
What information does MailTracker store about recipients?
MailTracker doesn’t store the email address of your recipient nor the content of
the emails you send to them. The only information related to the recipients you
send tracked emails to is:

- The open dates of the tracked emails.
- The sending date of the tracked emails and their identification numbers.
- In some cases, the IP address from which the recipient opened the tracked
emails. The IP address is only partially stored to make sure it’s impossible to
identify the recipients precisely (the last part of the IP address is replaced
by “0”).

Therefore, MailTracker does not store any personally identifiable information
about your recipients.
How accurate is an email tracker?
The accuracy of an email tracker can vary depending on several factors. While
email tracking technologies have improved over the years, they are not foolproof
and may encounter limitations. Here are some factors that can affect the
accuracy of an email tracker:

Email Client Support: The accuracy of email tracking can be affected by the
recipient's email client and its support for tracking technologies. Some email
clients may block or disable tracking pixels or other tracking elements, which
can lead to incomplete or inaccurate tracking data.

Images Blocked: Some email clients block images by default, and since email
trackers often use tracking pixels (invisible images), the opening of an email
may not be registered if the recipient doesn't choose to display images.

Multiple Devices: Recipients may access emails on different devices (e.g.,
desktop, mobile, tablet), and the tracker might not be able to accurately link
these interactions, leading to incomplete data.

Third-Party Firewalls and Security Software: Some recipients might use security
software or firewalls that block or alter tracking elements, affecting the
accuracy of the tracking data.

Email Forwarding: If an email is forwarded to another recipient, the tracking
data might not be associated correctly with the initial sender's intent.

Cached Content: If a recipient opens an email multiple times but loads cached
content, it may not be registered as separate opens.
Is email tracking legal?
In many countries, email tracking is legal as long as the sender obtains the
recipient's consent before employing any tracking techniques. The MailTracker
case is a little different as MailTracker doesn't identify specific recipients.
They add a pixel associated with a message ID, allowing them to know if the
email was opened, but not if a specific recipient opened it.
