We’re heading into a new era, where AI is an integral part of the workday. The

The new Planner is scalable

automate the new Planner (with or without code) to meet your organization’s
changing needs. Built on Microsoft Power Platform, the new Planner will enable
customized reporting through Microsoft Power BI and configurable workflows
through Microsoft Power Automate. It also integrates with Microsoft Viva Goals,
connecting to your objectives and key results (OKR) to inform plans and provide
high-level visibility.

 



 

The new Planner is intelligent  

 

Accelerate outcomes with AI. Through simple, natural-language prompts, Copilot
in Planner (coming in Spring 2024) will help you generate new plans, set goals,
track status, and react to changes as projects evolve. Copilot will provide
support for you and your team, making work and project management faster and
easier than ever. 

 



 


INTEGRATIONS WITH MICROSOFT 365 EXPERIENCES

 

The new Planner enables you to stay in the flow of work with integrations across
other Microsoft 365 experiences such as Microsoft Loop, Microsoft Outlook, Viva
Goals, and Teams. You can bring existing Planner plans into a Loop workspace and
track your team plan alongside other project content in one place. Emails you
flag in Outlook, or action items assigned to you from Teams meetings are also
visible in Planner. 

 



 


TASK MANAGEMENT IN PLANNER FOR FRONTLINE TEAMS

 

The new Planner will continue to include task management features for frontline
organizations. With features such as task publishing, leaders can define the
work to be done across their frontline locations and monitor completion. These
features have been part of what was previously the Tasks app in Teams, and we’re
carrying them forward into the new Planner. Learn more about frontline worker

NEW PLANNER ROADMAP AND ENTERPRISE WORK MANAGEMENT CAPABILITIES

 

Rollout timeline for the new Planner**:  

 * Early 2024: The new Planner app in Teams will be generally available (the
   current Tasks by Planner and To Do app in Teams will be renamed to Planner). 
 * Later in 2024: The web experience of the new Planner will be generally
   available. The features you know and love in Microsoft Project for the web
   will be available in the new Planner app in Teams and the Planner web app. 

 

Enhanced EWM capabilities coming to the new Planner

 

Existing capabilities in Project for the web such as sprints, people view, goals
and advanced scheduling with dependencies will be available in the new
Planner. Additional new EWM capabilities coming to the new Planner include
baselines, portfolios and lead-lag capability. 

 

Continued support for our customers

 

Project desktop, Project Online, and Project Server will continue to be
available and supported for both our existing and new customers. There is
currently no end of service date for Project Online.

 

Current users of Microsoft Project for the web, rest assured, capabilities that
you use and love today will continue to be available under the new name,
Planner. The Planner Power App will also continue to enable customized reporting
through Power BI and configurable workflows through Power Automate. You will be

This announcement does not impact any existing user scenarios or functionality
of Microsoft To Do apps.

Many Microsoft To Do capabilities that you use and love today, such as My Day,
My Tasks, Flagged Emails,
and more, will be available to you in the new Microsoft Planner in Teams.

Will Tasks assigned in Microsoft Project Online appear in the Tasks section in
New Planner or will this be limited to Tasks from Loop, Outlook, Viva, and New
Planner plans?

It's a good thing to finaly merge these task management products.  What is
missing is SharePoint / Lists integration for custom fields requirements.

How will Planner be shared? Will it still require a Microsoft 365 group?

@BethCooper yes, Project tasks assigned to you will show up in the new Planner.
[edit] @BethCooper I realized your question was specific for Project Online, so
I need to clarify: Initially, only tasks assigned to you on Project for the Web
will show up in the new Planner. 

@Benoit Fournier yes, sharing will still have a Microsoft 365 group behind it.
We want to look at more streamlined way to do sharing, would love to hear your
feedback and expectations on this topic.

@Roberto_Bojorquez we use SharePoint sites for our projects. We have > 160 000
of the sites. We do not link those to M365 groups because we do not need all the
other services and we want to avoid the noise generated by this amount of
groups.

 

Because of that, we cannot use Planner. When Planner is required, we have to
create a second site for the same project.

Will the ability to manage the members or a roster plan be added to a UI? The
inability to add people to a task without also adding them to the associated
group has been the largest hurdle in adoption.

@MartinRausch  Tasks limits are not changing with this announcement. Maximum
tasks in a plan are 9000. Microsoft Planner limits - Microsoft Planner |
Microsoft Learn

Can you tell us more about your needs and whether these limits are not meeting
them?

 

@Joe Fedorowicz Thank you for the feedback on adding users not in M365 groups.
We want to look at more streamlined way to do sharing. Can you tell us more
about this adoption pain point?

Microsoft Project for the web is being renamed to Microsoft Planner in spring
2024. For current users of Project for the web, the capabilities they know and
love today will continue to be available under the new name Planner.

Microsoft Planner is part of Microsoft 365, which means customers with an
eligible Microsoft 365 subscription can use it with no additional license
required. However, accessing premium capabilities within Microsoft Planner (
including capabilities currently available within Microsoft Project for the web)
will require a paid subscription.

@Roberto_Bojorquez let’s say we have a marketing team that has 90% it’s tasks
internal, but want to add a non-marketing team member to a task that requires a
certain speciality that they have. At the moment, it is impossible to do this
without adding that non-marketing team member to the group…granting them full
access to everything that comes with the group. Or you can use an api-only
approach and create roster plans which will take those tasks out of the initial
marketing plan.

 

Ideally, a user would be able to add anyone within the tenant (or a guest, I
guess) to a task and have them able to interact with THAT TASK ONLY…and not get
access to the group or rest of the plan.

 

That is how most other task management apps work. I understand why it is this
way under the hood, but the data model chosen makes inter-team usage of Planner
impossible.

Unfortunately, you forgot to mention that you renamed the Planner app in 2020
from Planner to Tasks in Teams, then to Tasks by Planner and To-Do, and now back
to Planner. Back to the roots. This is just a reminder that some people still
remember your old change, even if you don't mention the previous change.

@Roberto_Bojorquez We will see. If you changed the system how Planner stores
comments (currently as an email in the mailbox), yes then you improved the
system. I still don't understand how someone can develop a commenting system
like the Planner comments. But it's good that Project tasks are now also in
To-Do. Maybe you plan a Planner Premium license too? Not so unusual for
Microsoft in the current time.

We are using Planner and Project for the Web, AND Project Accelerator/BI. What
will happen with all the functionality that we get from the Accelerator?
How/where is data stored? Dataverse like today (P4W)?

We use Programs and different kind of portfolios based on data that we add using
the Accelerator (+ extra entities in Dataverse) and the Power BI solution from
the Accelerator. 

Before (still some) we used Project Online and I really do not want to go back. 

With only basic funtionality from P4W, we will have to use another tool.

"9.000 is too less in our organisational setup - we have all colleagues
(Marketing/Sales) worldwide in 1 Planner. 9.000 have been reached and to
generate new ones the only solution is to delete the "done" tasks. Deleting them
means, that we do not have the possibility to do overall statistics"

Will there finally be a recycle bin to restore deleted tasks in Microsoft
Planner? That's the main reason why we don't use MS Planner in our teams right
now, as we can't risk losing accidentally deleted tasks.

Will the new planner be using the same Project tables in Dataverse? We have

@svanvliet , I really wish I had seen this before the Ignite Planner round
table, it answers a bunch of my questions related to P4W.
One item I would really like some additional details on is what will this look
like, "Additional new EWM capabilities coming to the new Planner include
baselines, portfolios and lead-lag capability. " and specifically the Portfolio
view. I am part of an initiative right now to validate URS for viewing multiple
P4W assigned tasks across multiple resources across multiple projects in a
single view. Is the new Portfolio view going to allow for this within Planner
itself?

@svanvliet this is such a disappointing, but typical bait and switch, by
Microsoft. Can those users of Project for the Web who have been waiting for a
years for tasks in one place get a refund on their licences? I imagine we'll now
need a Planner Premium license for basic functionality needlessly cherry picked
to be behind a  paywall. 

 

 * This functionality was coming in "a few months" in November 2021
 * @Mukul Kumar  was "pleased to share" in Ignite
   2022 https://www.youtube.com/watch?v=ZuwFUs4OJgg (3:56) Assigned to me was
   being rolled out in the "next couple of months"
 * Microsoft project team have deleted the "Assigned to Me" feature request on
   the community feedback twice without having delivered it either time. Both
   times it was the top voted for request.
 * Microsoft has deleted the "Assigned to Me" feature from the Project roadmap,
   was feature 117363 after flagging for release in
   August https://www.microsoft.com/en-gb/microsoft-365/roadmap?filters=Microsoft%20Project&searchterms=117363 
 * This assigned to me feature https://www.youtube.com/watch?v=x84S71wMoHA was
   posted four months ago by microsoft but not released

@Brian Smith you've seen this car crash unfold. What happened? Did the team
think they could make more money from withdrawing the feature and sticking it
somewhere else or just re-announcing the same feature they did last year and
then jam it into Loop to make it more enticing. @AlexB looks like the guess on
pushing it out another year was correct. Lets go use www.monday.com for project
management.

@Roberto_Bojorquez, I agree with @Joe Fedorowicz that there is a very strong
need to have guests that are not part of the group.  Why create another group,
and all the related sprawl, when you can use exsting ones...if you could add
guests (both internal AND external) to the board.  Although I understand the
decisions to build boards on top of 365 groups, there definitely needs to be
some flexibility outside of that group.  So, consider this +1 from me (and a
+100 from our clients) on this one.

Five questions:

 

 1. Why wasn't Anav Silverman listed at the top of the page? 
 2. Can it do Project Portfolio Management (PPO)
 3. Can it allocate / view resources across projects?
 4. Can it have a project calendar and individual calendars for resources, and
    availability %?
 5. What type of reporting / status reporting is available?

What happens with existing Planner and Project for the Web projects?  Are these
existing project plans "migrated" behind the scenes when the new Planner app is
enabled in our environment?  What about existing Power BI reports, Power
Automate flows, Power Apps, Roadmaps etc. connected to these projects? 
Hopefully Microsoft plans to post the details on how this will work soon.

@Brett O'Hanlon, @RFromm, @Bjhartline, @Johnny_Fyrman I had to do some digging
last night, but all they are doing is rebranding. They aren't changing anything.
They are just changing the name of Project for the Web to Planner Premium.
Planner is still Planner (if like me you never started calling it Tasks and
always called it a Planner board). If you are using Project for the Web along
with the PMO Accelerator/BI, you continue to do that and the name just changes
to Planner Premium with the PMO Accelerator. The licensing is all exactly the
same too. Nothing is changing other than the name and the presentation made it
sound like it was changing. Check out the FAQs doc that explains all of this.
Although they ARE updating Planner Premium (P4W) to actually allow you to do
configuration of dependencies. Woohoo!!!! That has been a long time coming.

@Benoit Fournier - when you need a Planner board, why don't you just add a group
to the SPO site that you have for that project? You can always add a group to a
team site after the fact . . . unless it is a classic SharePoint site or unless
you are using a Communication site for collaboration and not a team site.

we use Planner widely around my business and i'm concerned that being able to
view tasks on a plan by bucket, by label and BY PEOPLE seems to be going away,
with view by PEOPLE seems to be behind a subscription pay wall.   removal of
these key features is very bad news.

Good information here.

 

I use MS Project and MS Roadmap together. My Roadmap always overlays my project
summaries for upper management to view. Will I still be able to do this with
Roadmap?

Very useful app. However I am unable to use it for my teams due to lack of text
editing support in comments section for each task. ( Unable to format text ,
resolve links etc).

Our organization is large and has some members with the paid premium
subscription and others with a regular subscription (A5 and A1). If we make a
project with the new Planner that utilizes premium components, does that mean
that only those with A5 can participate in the project? Or can those with A1
still participate in a limited way?

@Johnny_Fyrman In short: all the functionality you already use in all those apps
will continue to be there, no change. This FAQ covers some of your questions in
more detail: Microsoft_Planner_FAQ-Nov_2023.pdf

Project for the Web will continue to use Dataverse like today. 

What functionality would you like to see come to the New Planner in addition to
all the functionality from Project for the Web?

by @Mukul Kumar in 2022. Now saying Mar-Jun 24.

I have been repeating this until blue, even though it was a top UserVoice
request in 2018: we CANNOT use Planner as a serious business tool UNTIL it has
some kind of Recycle Bin, versioning, or something to recover inadvertently (or
intentionally!) deleted tasks. Today, if someone deletes a bucket of 1000 tasks,
it's just poof, gone forever, no ability to recover whatsoever. 

 

Apologies for stressing the problem, but given the age of this issue and this
announcement, this inexplicable omission leaves us quite frustrated to report
back to management we still cannot use Planner. Will the new Planner finally
address this showstopper?

Will we be getting proper international support so that we can see dates in the
way we expect instead of defaulting to mm/dd/yyyy everywhere? It's so confusing
getting days and months jumbled up in schedules.

 

Currently the only "simple" workaround seems to be to hand-edit the URL to
change the locale (from en-us) or a convoluted power-automate change

Glad to see Microsoft making progress here. Would've been nice to know this was
in the works instead of ghosting P4W users who were upset about the delayed
Assigned to Me feature... Except now I see the article was updated to say that
most of the "Planner Premium" / P4W features described in the article aren't
going to be available until "later in 2024"? That's pretty frustrating, and also
unsurprising that we will have to yet again wait and wait and wait.

 

A few items that would be useful for my team:

 1. Add an option to view all Plans you are a part of in "My Plans", not just a
    view of Recent or Shared Plans.
 2. Ability to add a custom overhead status to a Plan and have it be a column on
    the "My Plans" page and viewable on the Plan page. For example: On Hold, In
    Progress, Not Started, etc.
 3. Include an option to display all default and custom fields on the "My Tasks"
    page. 
 4. Ability to restore deleted Plans.

 

Edit: Adding more items I thought of...

 1. Embed P4W (Planner Premium) into SharePoint.
 2. Ensuring no hiccups with P4W and connected PowerBI reports upon launch.
 3. Ensuring existing web links to P4W projects do not break upon launch.
 4. Currently, clicking a web link to a P4W project often takes me to the main
    P4W page the first time click, and the second click will finally take me to
    the Project. It would be nice to have this fixed.

@Roberto_Bojorquez Earlier you posted,  "Project for the Web will continue to
use Dataverse like today."  Where is the data for the existing Planner projects
stored?  Is data getting migrated to the default Dataverse environment?  What
about new projects once the new Planner app is released?  I like where Microsoft
is going with this, but there is a lot of work to do for this to be an
enterprise wide accepted tool.

@Brett O'Hanlon it looks like maybe the request to have tasks that are assigned
included in the To Do version of "Assigned to me" should begin rolling out in
another month (December 2023) according to the roadmap.

It says anything where Project and Planner overlap. If you are creating tasks in
Project for the Web (soon to be called Planner Premium) then that would be a
common function and would allow the tasks to be added to "Assigned to me" when
one views their tasks in Tasks by Planner or To Do. My assumption would be that
it would only happen on new projects after the update is made, but maybe they
will surprise us and it will work on any project that was created in P4W.

When I create a Project in Teams, I can later see the project in my MS Project
Online area. Will Team Planner also create a MS Project Online instance or is MS
Project Online also becoming 'Planner'? 

 

I work out of both instances for different reasons.

We have been ghosted on P4W blog and uservoice for quite a while. Microsoft
should have already conducted an event to gather feedback from the community, we
have plenty of good ideas from real work needs. Instead we have no contact with
P4W teams, we often get features no one asked for leaving high desirable
features left for years.

 

Why not ask all of us here to join an event to brainstorm about how planner/P4W
could be better? It seems like we are being ignored, for far too long. I really
would like to use these products more, but the lack of direction has been VERY
disappointing, we are never heard, feedback seems to go in the bin.

 

I agree with several messages on this thread about the comments on tasks in
planner, that should be more Teams like, P4W started this well, but it was never
well developed, it was a slow and painful process having to run P4W inside teams
to have chat. We had to use the web interface to get better performance, but
then we didn't have chat. Very frustrating. Planner comments on tasks are really
useless as they are now. No one here uses it, same for our customers. There are
no instant notifications, there is no formatting, check your telemetry, most
likely no one uses it.
