USE CASES AND DEPLOYMENT SCOPE

We will be using Webexpenses expense management features across our entire
company. Webexpenses streamlines employee expense capture and tracking, and
creates uniformity and consistency for the approving supervisors and accounting
staff. This process offers flexibility for the end-user to process each expense.
The multiple approval levels ensure policy compliance.

PROS AND CONS

 * Optical receipt capture.
 * Receipt matching to bank card statement line items.
 * Claims dashboard for easy review.

 * I'd like to see improved functionality for intra-departmental account code
   selection.
 * The report writing is limited
 * The claim item processing for split expenses is glitchy and we often need
   support to complete the split
 * Customer service responses can be slow.

LIKELIHOOD TO RECOMMEND

This program may be complicated for older employees who are less tech savvy.
During onboarding, many staff had difficulty with the steps for marking an
expense as credit card vs. personal spend. Webexpenses is a significant
improvement over a manual reconciliation process.
Certain situations with split credit card expenses seem to cause the system to
hang-up, often requiring tech support to correct.

Great product, but it is a bit limited in its intra departmental capabilities.
We run into glitches from time to time attaching receipts to claims, splitting
receipts. Support ticket resolution is slow. Assigning Chris Turnbill to our
account has been a good improvement.

We were better off printing off credit card statements and getting people to
provide hard copy receipts. Very slow loading program, calculates foreign
exchange rates incorrectly, reporting produces information different to what is
recognised in the system itself. Regularly have to wait months for a response to
an email or support ticket. Don't waste your time with this product.

PROS AND CONS

 * Messes up reporting
 * Miscalculates exchange rates
 * Leaves automated fields blank
 * Abandons you as soon as you start paying for the product

 * It shouldn't take 60 seconds to load a page, on every page.
 * It shouldn't take 60+ days to get a response to a basic support ticket
 * It should be able to use logic to calculate two numbers noted in it's system,
   rather than pulling a completely different figure

LIKELIHOOD TO RECOMMEND

If time is important to you, Webexpenses is a bad choice. If you use multiple
currencies, this does not work. If something goes wrong and you don't know code
well enough to fix the product yourself, this is not the product for you. If
your company uses credit cards, find a better product.

USABILITY

I give it a 1 because 0 is not an option. I can't believe how poorly this
program operates. The most concerning point is the program containing data that
it can't even export correctly for reporting or posting purposes. Every staff
member at my company that has used this has commented at how slow the program
runs, and that it can take upwards of an hour to process a report that would
take 5-10 minutes in Concur.

We use Webexpenses to manage our personal expense reimbursements and credit card
expenses reports. It allows us to store receipts prior to submitting, track
employee mileage, and assign expenses to their respective accounts. Webexpenses
helps us track travel expenditures, which are frequent in our industry,
especially for our sales and PR teams.

PROS AND CONS

 * Easy to submit and track the status of expense reports
 * Offers a mobile app to organize receipts on the go
 * Handy email notifications

 * Clunky interface on desktop and mobile
 * Auto-suggested receipts pull the wrong total or are matched to the wrong
   expense
 * Mileage tracking doesn't always attach as a receipt

LIKELIHOOD TO RECOMMEND

I think Webexpenses is great for smaller organizations but maybe not for larger
ones. It's also a good fit for positions that require travel that employees
track and are reimbursed for mileage or personal expenses. I definitely would
not depend on the mobile app if you can't also use Webexpenses on desktop.
Sometimes it's glitchy and requires you to use both.

USABILITY

Honestly, Webexpenses has a pretty outdated and clunky interface. I've
personally used Expensify for employee expense reimbursement in the past, and I
much prefer it for ease of use and the layout of the receipt repository. When
uploading receipts, I can't depend on the auto-suggestions to match the
appropriate total or vendor, and sometimes receipts are duplicated. Webexpenses
also tends to not always sync between mobile app and desktop versions.

TIME SAVINGS

I haven't used Webexpenses to automate my own activities, but it does help me
organize receipts for both my personal reimbursement (cell phone bill and
mileage) and credit card verification. The email notifications for new items to
import to a claim and when my report has made it through certain steps of the
approval process are very helpful and don't require me to log into Webexpenses
to check the status every time.

I primarily use Webexpenses to keep track of mileage and various other company
related purchases. Such as amazon orders, fuel receipts and mileage.

PROS AND CONS

 * It is very user friendly and easy to use.
 * It keeps track of mileage and automatically calculates the rate.
 * It is easy to upload receipts and invoices.
 * It is quick and easy to get up to final approval before each pay period.

 * I really can't think of any. Aside from maybe the first time I used it. I was
   a bit confused until I watched the tutorial video and then it was a cinch.

LIKELIHOOD TO RECOMMEND

It is extremely user friendly for tracking mileage and the going rate for
mileage expenses. I also find it very easy to make amazon purchases and upload
the receipts of payment to get my personal funds back in my account quickly.

Used for monthly expense reports and payments. Enables staff to enter expense
receipts for any payments made for work purposes. As the company has a lot of
remote staff, they are able to use the system to claim back mileage which is
automatically calculated based on number of miles completed.

PROS AND CONS

 * Simple phone app which gets the job done

 * Could do with more hints for the different options to explain purposes

I find the system Well suited for internal expense payments especially as many
staff are remote based and may not have regular access to laptops which makes
the phone app highly beneficial. Can not envisage it being appropriate for
external use however this is mainly due to the fact that we are currently using
an internal system that addresses all of our needs for client payments.

App and website are simple to use and easy to add receipts to. Receipt retention
could definitely be better. Titles for vaults could be simpler but this could be
more company specific. Explanation for some of the expense options could be more
informative as unsure of the differences between certain choices.

The app means i can add to my expenses immediately after purchase instead of
waiting for access to a desktop. Whilst travelling abroad, i know expenses would
be accepted in different currencies and travel mileage is always generously
taken in to account to ensure staff are not short changed on mileage or
expenses.

With the nature of my job i work away from home a lot and incur charges and fees
constantly. Webexpenses enables me to keep track of what I have spent, when and
why. This is then relayed back to the accounts department and they are able to
see a compiled amalgamation of all my monthly spendings accomponied with
relevant receipts. This enables me to be paid on time and the correct amounts.

transactions.

PROS AND CONS

 * Customisable downloadable reports mean we can manipulate data to suit our
   business needs

 * In my exerience, not end user friendly. e.g if an authoriser gets updated mid
   claim the claim needs to be re-done. The updated authoriser does not
   instantly update on a users account
 * In my experience, quite buggy. Can take few times to upload the credit card
   statement due to unknown issues
 * Support sometimes do not respond
 * System bugs such as vanishing fields after user inputs and saves an item is
   frustrating

I use Webexpenses for my company credit card reconciliation, photographing
receipts easily on my mobile phone and saving as I go. I then reconcile this
expense at the end of each month, logging details of attendees, both internal
and external. I also use the programme for any personal expenses accrued over
the month.

It works well for logging my company card purchases or personal expenses. I like
that I'm able to take pictures of receipts on my phone and they are tagged to
expenses on the go, rather than saving all my receipts for the month and logging
at once.

There are restrictions on adding minimum attendees to purchases, but I assume
that is an internal control.

It was difficult at first shifting from using excel sheet to Webexpenses as I
need to scan all documents and upload to the system. As I progress, it is become
user friendly for me and I can easily track my previous expenses using
Webexpenses. Less error was observed based from my experience.

Makes it very easy to be able to rely on my expenses being checked, authorized,
approved, and paid all within a timely manner. Does not need multiple field
inputs for basic receipts, and keeps me updated with relevant communications
regarding the progress of claims. The best feature is the mileage calculator
which allows the starting point and destination to be easily calculated.

Webexpenses is being used to submit personal expenses. All staff can access it
and have their accounts along with the finance department. We also are using it
to submit our company card expenses as well. The Finance department does it. It
helps us to control our cost control and analyze our spending.

PROS AND CONS

 * Easy to submit the invoices when the values are matching.
 * Good reports, could be compatible to different accounting softwares.

 * VAT split does not work on the CC upload batch, needs to be amended manually.
 * When uploading the receipts, often fails, cannot understand the reason.

the simplicity and how easy it is to understand the context within Webexpenses.

It's perfect for expense management in small & medium businesses. I would assume
it could fit for large enterprise as well. In my former employer we were
changing the expense system 3 times over the years but all of them were very
complicated to handle, slow in performance and usually not integrated with
different devices.

I just had some minor issues with the mobile app which crashed and then "forgot"
the credit card imports. It was easy to fix but I needed support from the
support team who came up with an immediate solution for me.

afterwards to find out if I was happy with the solution proposed. Very good!

Webexpenses is good for the use on the mobile phone for inputting claims and
also attaching photo receipts. I use this service at least once monthly. I do
not like that you have to wait for a previous claim to be approved and paid
until you can put a new claim in. I also do not like that it can look like a
claim has gone through but you still have to click submit which has confused
some of the staff members when making a claim.

PROS AND CONS

 * shouldn't need to have to put claim through twice by have to click submit
   when going back into the claim
 * Mobile use not very good for putting multiple claims in under different

Good for a staff member to put in petrol claims as webexpenses can work out the
milage for the staff member and also the rate of pay for travel. Not as good
with multiple claims for petty cash such as over a few months as need to use the
computer for this rather then the mobile.

We use the product to enable us to work from home while also having the
equipment needed to do so. The company will also allow us to use it for treats
that they have advertised, such as getting an ice cream on a hot day on the
company. I have used the product in the past to claim ink expenses, laptop
trays, etc.

PROS

 * Clearly laid out
 * Easy to use

LIKELIHOOD TO RECOMMEND

One day we had an emergency, had to print off some files that needed to be
picked up by courier. Could not attend office at the time. Went to buy ink for
personal printer in order to print work documents. Claimed the expense back, and
had the money returned within the week.

It is difficult to use for small purchases that may not come with a receipt.

I use Webexpenses to file and send any expense claims for approval to line
managers. I store a record of receipts of incurred costs on training, travel or
trips when working. Once receipts are added and claims raised, the claim is sent
to a designated approver (usually a line manager) for approval. Once approved,
instruction to reimburse me is sent to finance.

PROS AND CONS

 * Store receipts.
 * Record keeping.
 * Quick and efficient expense approval.

 * Not user friendly app.
 * Adding receipts is confusing and offers various options.
 * It far too often asks you to save a claim when changing pages and then
   crashes.

LIKELIHOOD TO RECOMMEND

If I were to attend a business trip, my company allows me a capped amount to
spend on subsistence (meals, etc.) when away. Once I return, I photograph all
receipts and upload to Webexpenses to clearly apply for reimbursement. The same
can be done with e-receipts for private hire cars or taxis.

The website is very good, but the app is very user-unfriendly. Uploading
receipts is fidgety. However, once the claim is submitted, it is easy to review
previous claims and work out total spending, etc., etc. The format of the
website and app is quite accessible, also. Not too bad.

TIME SAVINGS

I have regularly used Webexpenses for expense approval and claim submission. Any
business trips I attend, travel that I must make for work reasons, or
small/petty cash purchases I must make when working, I always raise claims
through Webexpenses. Unfortunately, I have never raised an "automatic" claim,
however.

I use it to reimburse any travel expenses and sustenance expenses I incur in my
daily role, I use it to keep track of my spending and mileage also. it helps us
as a business to view trends in travel patterns and gives us a transparent view
of where our colleagues traveling to and making sure they are being reimbursed
for all company expenses.

 * Easily works out mileage from one past code to the other.
 * Easy to produce receipts and keep on top of inputting expenses.

I use Webexpenses to submit claims against my CPD allowance, or for work related
expenses.

PROS AND CONS

 * Consolidates expense claims into one submission.
 * Allows easy upload of receipts.
 * Easy remote submission for a global company.

 * Receipt upload can be clunky - saves and kicks you out before you get to go
   back and add receipt.

LIKELIHOOD TO RECOMMEND

Well suited to allowing employees like myself to remotely submit expense claims
related to CPD allowance, or other work related expenses that have been
approved.

USABILITY

Some things like attaching receipts are a little clunky - you click add receipt
and it insists you save first, which kicks you out of that part of the
submission and you have to go back in to add the correct receipt to the correct
claim component.

We switched to Webexpenses for our mileage reimbursement. It takes twice as long
to enter our information, doesn't remember addresses, doesn't have predictive
text, and has far too many categories to fill out. If an efficiency expert came
in and observed this, they would be disgusted at how much productivity is lost
by using this. I would never recommend this product and cannot believe my
company does.

This is a terrible website. No one with any need for efficiency would ever use
or recommend this site.

We use Webexpenses to upload and consolidate all receipts and charges associated
with credit cards used. Problems we faced were lost invoices and receipts which
Webexpenses has resolved this problem with its seamless upload of receipts
functionality. Time to fill in expenses on a monthly basis has also decreased
dramatically.

PROS AND CONS

 * Receipts upload
 * Tracking of all expenses on credit card
 * Historical review and forecast

 * When uploading receipts, complete an expense to match the upcoming credit
   card transaction.
 * Learning of companies that are continually visited through expenses.
 * Auto matching of expenses with particular receipts and not presuming it's a
   personal expense.
 * Default expense for all transactions.

LIKELIHOOD TO RECOMMEND

For someone who travels and uses their credit card for all expenses. A person
who needs to keep receipts in check where this program easily allows for
uploading of receipts with a set and forget type of scenario. For a frequent
user of cards. Less used for someone who only uses a few transactions a month.

I use Webexpenses because it is the system that the University uses for
employees to make expense claims. I don't know if it addresses any business
problems. However, I am sure that it creates many problems for me. In my
experience, I usually spend several hours on it to complete an expense claim.
The worst of all is adding scans of receipts. The system does often not realize
that a change has been made, and pressing "save" does absolutely nothing. When
receipts are attached, it is not predictable which receipt is attached; it may
be one from years ago; I have no way of telling because once it is attached, it
is not possible to check what was attached. In my opinion, this system makes me
(a Professor) spend many hours making a claim (which is then rejected because of
the way it operates). It is one of the worst systems the university uses, in my
opinion.

I use Webexpenses for personal expenses within the organization as well as
credit card expenses within the organization. I use it to claim mileage and
mainly for external events.

PROS AND CONS

 * Matches up receipts to claims easily.
 * Has expense codes and department codes easily accessible.
 * Claiming mileage is very simple.

 * Sometimes it comes up that a receipt is duplicated when it isn't, however, it
   still allows you to process the claim which is positive.

LIKELIHOOD TO RECOMMEND

It is easy to match receipts up to claims, the way claims are set up makes it
user-friendly, and there is plenty of time to amend any issues. The reminders to
put through your claims via email are also really handy.

on the go. The facility to upload or take photos of receipts allows users to
make their claims quickly, and the information is held securely so that it can
be reviewed and accessed at any time.

Webexpenses is the best tool of its kind that I have used to manage my expense
claims at work. It's easy to put in a claim, view my claim status, and look back
through history, as well as add receipts, evidence, and notes to a claim. I
would recommend it.

USE CASES AND DEPLOYMENT SCOPE

Webexpenses is used internally at Utilize for monthly Expenses claims plus
Mileage claims for cars or motorbikes. It's easy and hassle-free. I usually put
all my claims into the mobile app after the expense event, so I never forget a
claim. Using the app is easy to upload a photo of the receipt or a screenshot
from my email app with the order details for the claim.

 * The website drop down to assign a claim to a client is too clicky.

LIKELIHOOD TO RECOMMEND

Webexpenses is well suited for quick and easy, simple claims for parking. For
instance; I pull up to a parking bay in London, open the parking app (Ringo, for
instance) and pay for the parking. Ringo emailed me a receipt for the parking. I
take a screenshot of the email and then open WebExpenses mobile app. The total
claim time in WebExpenses is about another minute. Add a claim, including the
type of claim (parking), assign it to a client, and give it a price. Attach the
screenshot, DONE, and all before I've gotten out of the car. WebExpenses mileage
claims are based on Google Maps with traffic re-routing. I believe that this has
a negative effect on your mileage claim because the time you drove around an
accident, through miles of villages, and get to where you are going, the
accident has now cleared. You go to put in your mileage claim, and it asks for
your start postcode and finishes postcode. It then works out the mileage with
the traffic in its current state. You are now 20 miles short of your actual
journey. I ALWAYS take a start odometer from the car and a finish odometer from
the car and adjust the claim on the form. The issue with this is that every
mileage claim has a red flag for management to check over when processing the
claim.

80% of the process is spot on. Negatives, which, once fixed, will give it a 100%
rating, are; 1. Mileage claims based on Google Maps with traffic re-routing, not
giving the real mileage driven. How about the app that has a mileage track
option? When enabled, it tracks the journey & gives true mileage traveled. 2.
Website claims; selecting a client that doesn't pop up in the 1st three clients
means you have to press multiple buttons. Just show all clients in the drop-down
in alphabetical order and not have to click three buttons to get it to do that!

TIME SAVINGS

It saves me time handling receipts and scanning them into an email to send to
the accounts team. It's much less paperwork to process, but just the same amount
of admin either way.
