What to Expect

We’ve mapped out the Upgrade journey below, from the initial discovery
conversation with your account executive to your complete migration and ongoing
support. We estimate you’ll be able to access data in your new system 120 days
after you sign the contract. Our priority is maintaining data integrity,
workflow efficiency, and reporting compliance along the way.

In the initial phase, our goal is to ensure we understand your data and
organizational needs. We’ll schedule a discovery call with your key team members
to talk about your needs, data, and pricing structure. To prepare for this call,
you can download our discovery questionnaire below. We’ll follow up with a
contract that captures the details of the discovery call.

CONTRACT IS SIGNED!



After your contract is signed, a member from our Onboarding Team will reach out
to tell you more about the onboarding process. You’ll receive an email from our
team to set up your onboarding kick-off call.



YOUR ESO ENVIRONMENT IS CREATED!



Based on Discovery, we’ll put together the first version of your ESO
environment. We’ll continue to configure with your team as the onboarding
process continues–meaning we’ll set agency-specific features like Cardiac
Monitor, Mobile App, Billing Interface, and CAD based on integrations and
modules in scope.




ONBOARDING KICK-OFF CALL



During the kick-off call, we‘ll review the onboarding process and timeline
requirements for Administrators and End-users. We start by discussing how we
will partner with Administrators to populate your agency’s ESO environment,
focusing first on migrating agency and personnel data from your current
environment into ESO.

To be successful, we ask that you:

 * Review Agency demographics, Personnel, Units, Stations, Zones, EMS Status,
   and Facilities fields
 * Archive any data elements your agency DOES NOT want migrated to ESO
 * Add missing emails for any Personnel your agency DOES want migrated to ESO



BUILD


DATA MIGRATION BEGINS



ESO is committed to providing a best-in-class onboarding experience with as
little interruption to your daily operations as possible. As part of the ESO
family, you’ll have access to our automated data transfer engine, which will
speed up the data process, decrease the work on your teams, and allow you to
validate the accuracy of information along the way.

We will partner closely with your agency to populate the ESO environment with
pertinent data to meet your workflow and reporting requirements.



This includes the following steps:

 1. Review and update Emergency Reporting environment.
 2. Import data into ESO.
 3. Validate data in ESO.
 4. Update outstanding data requirements (as needed) in ESO.
 5. Once your agency is live with ESO for incident documentation, we will begin
    transferring historical data so you can access current and historical
    records in one RMS system.

There are a few modules that require additional data migration processes. If
your agency is using those modules, we’ll discuss migration process and timing
during the onboarding kick-off call.

TEST AND TRAIN


ADMIN TRAINING



Admins should complete ESO Admin training for your purchased modules, which are
available via ESO On-Demand Training. For every product purchased, your admins
have access to configuration training, user training, and additional admin
training to help support that product.

During this time, the ESO team continues configuring and validating your ESO
environment to your department’s needs while local administrators work on
agency-specific configuration after training is complete.



LOCAL ADMINS COMPLETE AGENCY-SPECIFIC CONFIGURATION.



 You’ll want this close-to-final, so your end users receive relevant training to
their real-life use case.




END-USER TRAINING



Once you’ve completed Admin Training, this is where you’ll make sure all
providers have access to the ESO environment. When they’re in, we recommend your
end users take advantage of our On-Demand Training while we (your admin team and
ESO!) ensure product readiness. Your teams will be set up for success with
training on your preferred modules just in time to make the official change to
ESO.



Go Live


FINAL ADJUSTMENTS AND UTILIZATION

As your End Users complete training, your agency admins will make final
adjustments to the configuration and sign off on workflow-specific checklists.
We’ll coordinate with you and your state to ensure compliance with local
reporting requirements. Then, you’re ready to begin using your new ESO
product(s) while we continue planning and optimizing any additional products or
data needs.



YOU’RE LIVE!



You’re Live! We recommend your team completes additional training in Reporting
Modules (like Insights and Analytics), and Quality Management training for our
EHR users.



Ongoing Success


CUSTOMER SUPPORT AND CARE

Our support is never done. Once you’re live, we’ll introduce you to additional
ESO support teams as we continue to work with you to transfer data from
Emergency Reporting to ESO so you can access historical records. We’re available
to answer questions, solve any transition challenges, and connect your agency to
ongoing training and learning opportunities.

Important Updates



June 6th, 2023

 * We are continuing to move customers who face NEMSIS 3.5 compliance deadlines.
   NEMSIS 3.5 deadlines vary state to state. We are in touch with the AHJ and
   will be sure to reach out when it is your state’s time to transition.
 * ESO can now migrate all your data for occupancy, and we are currently
   completing the data migration tooling needed to move over all your inspection
   reports (including attachments).
 * The National Registry for Firefighter Cancer was announced this year at Wave
   2023, and we are now collecting data from ESO reports.
 * ESO Regional User Groups have been announced. We are heading to Denver,
   Louisville, New Haven, Raleigh, Akron, and Seattle. I would love all our
   Emergency Reporting customers to join us at one of these events near you. You
   can find more information about the events at eso.com/events/rug-event. Be
   sure to sign up before seats run out!




THERE IS NO END-OF-LIFE DATE FOR EMERGENCY REPORTING.



April 18, 2023 | Please Note: After you go live with ESO, we will continue to
work on transferring all of your historical data to the new system. We recognize
there may be instances where you need to retrieve reports for record requests or
administrative tasks. To help with this dilemma during this process, you will
still be able to access your historical records on your previous application.

January 25th, 2023 | Our upgrade efforts for Emergency Reporting customers
remain focused on moving departments facing NEMSIS 3.5 compliance change in
2023. We have not set an end-of-life date for Emergency Reporting yet, so we
will continue supporting the Emergency Reporting application while working with
you and your team during the upgrade to transfer the largest amount of system
data from Emergency Reporting to the ESO RMS. Thank you so much for your
patience and flexibility during this process. We’ll continue to keep you
informed as we move through this process.

FREQUENTLY ASKED QUESTIONS

Why did ESO acquire Emergency Reporting (ER)?

When ER’s investors decided to sell the company, it was an easy decision to get
involved in the process as we were impressed with what ER had accomplished over
the years. We were excited to make an offer and have the chance to bring the
staff and customers into the ESO family. Additionally, ER had significant
short-term issues meeting the new NEMSIS requirements and longer-term issues
with a technology platform that needed an architecture and user interface
update. We felt we were well-positioned to help with these two issues. We knew
the ER platform had some great features and functionality and we wanted to
incorporate these into our new Fire RMS platform.

What is happening to the Emergency Reporting products and platform?

From the very beginning, leadership from ESO and Emergency Reporting worked
together to determine the best technology path forward. Collectively (and
unanimously), the teams agreed the ESO platform (including ESO Fire RMS and ESO
EHR) is the best choice for the future based on a few key factors.

 * ESO’s technology platform is more modern and capable of scaling to meet
   customer and industry needs. 
 * ESO Fire RMS is integrated with other ESO applications, including ESO
   Electronic Health Record (EHR), ESO Scheduling, ESO Inventory, and ESO
   Personnel Management.   
 * Adding key elements and features from Emergency Reporting into ESO Fire RMS,
   including Occupancy Vulnerability Assessment Profile (OVAP), integrated
   Assets, and Length of Service Award Programs (LOSAP), can be done in a
   relatively short period of time.
 * Adding ESO features (such as +1 coding and custom reporting) into the
   Emergency Reporting platform would require a fundamental change to the
   architecture, causing significant delays in development.  

What will happen to ER-related programs like Rover?

Most applications will migrate to ESO apps. We will continue to support and
maintain Rover.

How do I prepare ER ePCR Data for ESO EHR?

So, it sounds like not everything from ER is going to be migrated into ESO?

We are working to migrate data, however there may be custom data that may not be
able to be migrated.

Are attachments in our files being migrated?

Attachments are part of the planning process for migration, so we will work with
you to clarify this individually during the onboarding process.

What if our organization is transitioning to ESO and moving from NEMSIS 3.4 to
NEMSIS 3.5?

The intent is to transition everything at one time. We will work with your
organization to get a plan together that fits your needs.

How do I prepare my data for migration to the ESO Platform?

We’re ready to lead you through this journey. We have worked hard to make data
migration as easy as possible for you. Review the Data Migration step in your
Upgrade Journey tab above, or reach out to your ESO contact for more
information.

What is the cost if we switch over to ESO Fire RMS?

You’ll work with your sales representative to discuss the many solutions we
offer, and your rep will be able to provide you with a price quote. In some
cases, there may be an increase in what you pay today. Your rep will work with
you and your budget to help with an easy translation.

How often does ESO Fire RMS get updated?

Fire RMS is updated regularly to add new items to the system.

Does ESO automatically populate incident reports with the unit personnel who
responded to the incident?

ESO Incidents integrates with ESO Scheduling to import units and responders into
the NFIRS reports. ESO can bring data over to incidents from other select
scheduling software.

When is Emergency Reporting being discontinued?

There is currently no date established to discontinue Emergency Reporting.

How long does it take from signing my contract to using my new ESO Product take?

After a contract is signed, we estimate 120 days to get everything transferred
and training complete. An Agency specific timeline will be discussed during your
discovery process.

How do I find out who my account manager is?

Email ESOam@eso.com to get your Account Manager’s Information.

How long will you continue to support Canadian Emergency Reporting customers?

We will continue to support our Canadian Emergency Reporting partners until the
ESO products are deployed in Canada.

When will Emergency Reporting in Canada be discontinued?

There is currently no official date to discontinue Emergency Reporting for
Canadian agencies. We want to make sure we do it right for our Canadian
partners, which means taking time to release products meeting your specific
circumstances.
