Italy’s first cloud-native bank, illimity, is dedicated to using technology to
improve efficiencies and deliver innovative new services, relying on its solid
experience. Listed on the MTA of the Italian Stock Exchange, illimity adopts an
open and modular architecture. One service that it provides is employee
discounts for loans, but its application and approvals process was slow and
inefficient. illimity used Microsoft Power Automate to simplify, streamline, and
automate this process, saving 15 hours a month and seamlessly handling 15
requests a month. Next, it will use Microsoft Power Platform to drive further
efficiencies through citizen development.

A CLOUD-NATIVE BANK

illimity Bank was founded in 2018, with a mission to recognize and enhance the
potential of people, families, and businesses. As the first Italian bank to
operate entirely in the cloud, illimity prides itself on using innovative,
high-tech business models to support high-potential ventures and introduce new
banking paradigms.

“We were born digital,” says Filipe Teixeira, Chief Information Officer at
illimity Bank. “We have a fully digital, online banking platform and are always
striving to bring new innovations to the Italian market.”

To meet this goal, illimity built its IT infrastructure on Microsoft Azure and
Microsoft 365, and it uses a full suite of Microsoft services, including
Microsoft Teams, SharePoint, and Microsoft Power Platform. It’s now using Power
Automate and Power Apps to transform processes, create efficiencies, and drive
growth.


LOW-CODE IMPACT

Supporting a fully digital bank is a full-time job for the illimity IT
organization, with a nearly constant flow of support requests keeping it busy.
Following a chance encounter with a Microsoft Power Platform online tutorial,
the organization’s Collaboration Solutions Team used the low-code development
tools in Power Apps to build an IT help desk, reducing the department’s workload
in just one week. The solution uses Power Automate to draw on a simple
SharePoint database and provides users with the answers they need through a
front-end driven by Power Apps.

“The Microsoft Power Platform tutorial should be taught in every first-year
course at university,” says Francesco Zitelli, IT Program Manager at illimity
Bank. “We learned how easy delivering an application can be and how powerful its
impact can be.”

After that initial success, Zitelli’s team looked for more internal processes to
streamline with Microsoft Power Platform, and it chose the approval process for
a discounted-loan program that illimity offers to its 500-plus employees—a
significant and popular perk across every level of the company.


A MANUAL PROCESS AUTOMATED

Originally, a single employee in the underwriting office manually processed the
unstructured emails, instant messages, and phone calls that made up the bulk of
employee loan requests. The employee then had to follow a complex prescreening
process, collating request details and sending summaries to HR for
authorization. The long, slow process made it hard to track requests and even
harder to gain a big picture of all pending applications.

“When we began the project, we had about 10 percent of our workforce requesting
a total of €5 million in credit,” says Zitelli. “Our goal was to automate the
approval process and make life easier for the underwriting department.”

Zitelli and his project team used Power Automate to upload a knowledge base on
its intranet to SharePoint Online, providing instructions for those looking to
take out a loan. Employees then input their information into Microsoft Forms
Pro, where it’s collected and structured. The project team included compulsory
fields, subtitles, and data validation within Forms Pro to help employees make
sure their applications are completed in full and without mistakes.

A Power Automate workflow then automatically ingests this data and uses
calculated fields to help preprocess each request and calculate if it’s
eligible. The underwriting office can access this information at any time using
a combination of SharePoint and Teams, gaining a much-needed view of the
internal loans landscape.

After validating the request, Power Automate opens an approval request with HR,
who can finalize the loan via an automated email. At this stage, Power Automate
updates the SharePoint list and generates a PDF with all the relevant
information for the employee. Throughout the process, Power Automate sends any
relevant updates to a Teams group for more detailed scrutiny.


HOURS SAVED, MILLIONS LENT

The new process relieves a huge burden on the underwriting office, saves
illimity time and money, and makes it easier for its employees to access an
important perk. In total, illimity’s new employee loans system is handling
approximately 15 requests a month, and it’s estimated that 50 percent of
employees will use the tool at least once in the next two years.

The underwriting team has been able to reduce processing times from an hour per
request to just 20 minutes. It can now respond to requests in a matter of days
rather than a full week, saving a total of 15 hours a month. What’s more, it’s
now much easier to see the big picture when it comes to employee loans, so the
underwriting team can identify bottlenecks and add further efficiencies as time
passes.

“We’ve used the automation capabilities in Microsoft Power Platform to
dramatically improve the efficiency of our employee loans process,” says
Zitelli. “The time savings have been a valuable return on our investment.”


A LOW-CODE FUTURE

In addition to bringing new efficiencies to its loan processes, illimity is
using Microsoft Power Platform to illustrate the value of low-code development
and automation to its business users. The goal is to encourage citizen
developers to produce their own reports, dashboards, and applications,
delivering new capabilities more quickly and with less strain on the IT team.

“We have young, talented, and curious business owners at illimity, and they’re
using the Microsoft platform to discover all these new collaborative methods,”
says Zitelli. “With Power Apps and Power Automate, we can bring our people to
the next level so they can consume and tailor their own reports and automate
their daily tasks.”

The Collaboration Solutions Team is also investigating the potential for using
robotic process automation (RPA) on Microsoft Power Platform to automate other
workflows. “We plan to conduct POCs to assess the huge opportunities of RPA,”
says Zitelli. “And alongside that, we’ll continue to use Power Apps and Power
Automate to create new business value—and deliver on the promise of digital
banking for our customers.”

Meanwhile, the other members of Zitelli’s team are excited by how easy Microsoft
Power Platform is to use, and they’re looking forward to the opportunity to help
drive more digital innovations at illimity Bank. “I don’t know programming and
I’m not a developer, but I was able to pick up Microsoft Power Platform really
quickly,” says Chiara Sibilia, Digital & ICT Operations Specialist at illimity
Bank. “Power Automate and Power Apps have revolutionized the way I can work.
When I created my first dashboard in Power BI, I had the feeling of having a
simple and intuitive gift to work with and test my skills.”

By transferring this power to business users, illimity can free its IT
organization to focus on the bigger strategic goal—gaining a competitive
advantage in the fast-moving banking industry. And as a digital-native
organization, it’s perfectly positioned to do that by delivering high-tech
services for its customers.

“Not all banks take the opportunity to experiment with no code and low code,”
says Zitelli. “At illimity, all 500 employees, from our CEO to those who have
just joined, have access to Microsoft Power Platform and can start to innovate
in their roles as soon as they want.”
