HOW WE USE YOUR INFORMATION

The CEF values the protection and confidentiality of your personal data. This
privacy notice explains what personal data we collect from you and how we use
it.


PEOPLE WHO VISIT CEF WEBSITES


 * PERSONAL DATA WE COLLECT
   
   When someone visits www.cef-see.org, www.cef-see.org/olc,
   www.cef-see.org/blog we collect standard internet log information and details
   of visitor behaviour patterns. We do this to find out things such as the
   number of visitors to the various parts of the site. We collect this
   information in a way which does not identify individuals. We do not make any
   attempt to find out the identities of those visiting either of our websites.
   We will not associate any data gathered from this site with any personally
   identifying information from any source. If we do want to collect personally
   identifiable information through our website, we will be up front about this.
   We will make it clear when we collect personal information and will explain
   what we intend to do with it.


 * HOW WE USE PERSONAL DATA
   
   The CEF uses the data we collect to operate our business and provide you the
   services and products we offer. We also may use the data to communicate with
   you, for example, informing you about new services and products. However, we
   do not use what you say in email, chat, video calls or voice mail, or your
   documents, photos or other personal files to target ads at you. You have the
   right to opt out of such communication.

   We share your personal data with your consent or as necessary to complete any
   action to requested authority. We make sure we provide only a minimum set of
   your personal data and/or photos. We also share data with vendors working on
   our behalf; when required by law or to respond to legal process; to protect
   our customers; to protect lives; to maintain the security of our products;
   and to protect the rights or property of the CEF.
   
   You have the possibility of appealing to the supervisory authority if
   personal data processing is not precisely presented.


 * HOW TO ACCESS & CONTROL YOUR PERSONAL DATA
   
   You can view, edit, or delete your personal data online for many CEF
   products. You can also make choices about the CEF's collection and use of
   your data. How you can access or control your personal data will depend on
   which products you use. You can always choose whether you wish to receive
   promotional email, telephone calls and/or postal mail from the CEF.

PEOPLE WHO VISIT CEF SOCIAL MEDIA

The CEF has its accounts and sites on social media such as Facebook, LinkedIn,
TikTok, Exposure, Instagram, and YouTube. Each social media has its separate
privacy policy explaining which data it collects and for what purposes.


PEOPLE WHO EMAIL US

Any email sent to us, including any attachments, may be monitored and used by us
for reasons of security and for monitoring compliance with office policy. Email
monitoring or blocking software may also be used. You should be aware that any
emails we send or receive may not be protected in transit.

Please be aware that you have a responsibility to ensure that any email you send
to us is within the bounds of the law.


PEOPLE WHO USE CEF SERVICES


PARTICIPANTS OF THE CEF EVENTS

We hold the details of the people who have attended our events. However, we only
use these details to provide the service one person has requested and for other
closely related purposes. When people do subscribe to our services, they can
cancel their subscription at any time and are given an easy way of doing this.

When organizations fill in their registration forms, they are asked to provide
the contact details of a relevant member of staff. The CEF will use this for its
own purposes, namely, where we have a query about a registration, but will not
put it on the public register.

When we request information as part of the registration process, we make it
clear where the provision of information is required by law and where it is
voluntary. Information collected shall be subject to appropriate safeguards.


PHOTOS FROM CEF EVENTS

We take photos during CEF learning events. Photos taken during CEF events are
used on CEF websites (www.cef-see.org, www.cef-see.org/olc,
www.cef-see.org/blog), CEF social media sites (Facebook, LinkedIn, TikTok,
Exposure, Instagram, and YouTube) and in CEF printed materials.


SUBSCRIBERS OF E-NEWSLETTER

People can subscribe to our newsletter. We gather basic statistics around email
opening and clicks using industry standard technologies to help us monitor and
improve our e-newsletter.


JOB APPLICANTS, CURRENT AND FORMER CEF EMPLOYEES

When individuals apply to work at the CEF, we will only use the information they
supply to us to process their application and to monitor recruitment statistics.
Where we want to disclose information to a third party, for example where we
want to take up a reference or obtain a 'disclosure' from the Criminal Records
Bureau, we will not do so without informing them beforehand unless the
disclosure is required by law.

Personal information about unsuccessful candidates will be held for one month
after the recruitment exercise has been completed, it will then be destroyed or
deleted.

Once a person has taken up employment with the CEF, we will compile a file
relating to their employment. The information contained in this will be kept
secure and will only be used for purposes directly relevant to that person’s
employment. Once their employment with the CEF has ended, we will retain the
file in accordance with the requirements of the law..


ACCESS TO PERSONAL INFORMATION

The CEF is aiming towards GDPR compliance of giving people access to their
personal information. Individuals can find out if we hold any personal
information by making a ‘subject access request’ under the GDPR rules. If we do
hold information about you, we will:

 * give you a description of it
 * tell you why and for how long we are holding it
 * let you have a copy of the information in an intelligible form


We are bound to provide you with the requested information within a period of
one month. If we require more time, we will inform you in a timely manner, and
provide explanation to our action.

To make a request to the CEF for any personal information we may hold you need
to put the request in writing addressing it to our DPO (Data Protection Officer)
to the address provided below.

If we do hold information about you, you can ask us to correct any mistakes by,
once again, contacting the DPO.


DISCLOSURE OF PERSONAL INFORMATION

In many circumstances we will not disclose personal data without your consent.
However, when we investigate a complaint, for example, we will need to share
personal information with the organization concerned and with other relevant
bodies. Further information is available with our DPO about the factors we shall
consider when deciding whether information should be disclosed.

You can also get further information on:

 * circumstances where we can pass on personal data without consent, for
   example, to prevent and detect crime and to produce anonymous statistics
 * our internal policy on how to collect, use and delete personal data
 * how we check that the information we hold is accurate and up to date

We keep our privacy notice under regular review. This privacy notice was last
updated in August 2020.
