What are your plans for the hybrid workplace? In the aftermath of the pandemic,
most companies are expecting to introduce some kind of hybrid working policy
that will allow staff to work remotely a couple days per week while coming into
the office the rest of the time. This approach has many benefits, but it also
introduces new challenges – especially when it comes to the way you organize an
office space.

If large numbers of staff are only going to be in your physical offices two or
three days per week, hot desking is a good solution. It means:

 * People can come to the office when they want and find seating
 * Since some of the workforce will be at home, you can have fewer desks and
   spread them out for the purposes of social distancing
 * You avoid ‘dead’ space when staff have permanent desks that they are only
   using two or three days per week

However, people will want to know that their hot desks have been sanitized and
that they’re in a suitable part of the office. Automation in hot desk management
can help you achieve this.


THE PROBLEM WITH TRADITIONAL HOT DESKING

In the traditional approach to hot desking, employees simply turn up at the
office and sit at any desk that is currently available. Before the pandemic,
this was a reasonable approach. However, it is no longer appropriate:

 * People don’t feel safe: 73% of employees expect greater social distancing in
   the post-pandemic workplace. If coworkers can simply hot desk wherever they
   want, many staff will feel concerned about health risks.
 * Staff feel frustrated: One recent survey found that 29% of people had
   struggled to find an available desk when their companies had hot desking
   policies
 * Desks in the wrong place: Choosing a hot desk when you arrive at the office
   means that you could end up having to sit in the wrong working environment.
   For instance, trying to do focus work in a noisy part of the office is very
   difficult.

To overcome these issues, many companies are turning to automation in hot desk
management.


WHAT IS AUTOMATION IN HOT DESK MANAGEMENT?

Automated hot desk management involves the use of software to provide desk
booking systems, as well as collecting occupancy and usage data. You can
purchase desk booking software, but it is also perfectly easy to design your
own.

The benefits of automation in hot desk management:

 * Lets people book hot desks in advance

By providing people with a tool to book a short-term desk, they can reserve
their space in the office in advance. This means that they know they will have a
place to be productive where it’s socially distanced and in a location they
would like to be seated. This also saves them time on arrival at the office
since they won’t have to walk around looking for a seat. Another benefit is that
if a desk is reserved, staff can be confident it will be sanitized before each
use.

 * Tracks and manages workspace availability

By using automation in hot desk management, you can track data about how office
space is being used. This information can be very valuable, especially as you
continue to develop your hybrid working strategy. It tells you how frequently
people are coming into the office and where the preferred sitting areas are.
This can inform your hybrid working policies and decisions about how much floor
space you actually need.

 * Lets teams coordinate for collaboration

One drawback of traditional hot desking is that it is difficult for teams who
need to collaborate to find spaces close to one another. However, with desk
reservation systems, the team coordinator can select a group of desks which are
situated close to one another a few days in advance. That ensures their team
will be able to collaborate easily.

EXAMPLE: WHAT AUTOMATION IN HOT DESK MANAGEMENT LOOKS LIKE

Ashish is a draughtsman at an architect’s practice. His company has implemented
a hybrid working policy that allows him to work from home two days per week then
hot desk in the office for the other days. Tomorrow he will be at the office,
and he knows that he wants to be seated near one of his coworkers because they
have a building façade project they are working together that requires
collaboration.

He opens up Teams and chats with his colleague to decide where they will sit
tomorrow. He then opens his company’s desk booking app in Microsoft 365 and
selects two desks side by side. He sends a reservation request and the automated
desk management system holds the spaces for him. As a result, no one else can
reserve those two desks, and Ashish knows he will have the space he and his
coworker need to collaborate.

Brilliant Workflow Management

Nintex Forms are the best way to automate the business processes both
administratively and for the end-users. The automated workflows help the
supervisor to get requests like leave requests or time off requests from
employees through the forms created with Nintex. Manual intervention is not
required. Nintex doesn't involve complex coding, therefore, anyone with basic
computer skills can create forms on it.

Nintex - the Go-To platform for Fire Department Processes

We use Nintex across the City of Garland. Here at the Fire Department, we use it
for a great many purposes. We use it for processes that are highly regulated
such as Narcotics tracking, SCBA daily checks, PPE bunker gear, Assets &
inventory just to name a few. We also use it for document storage and versioning
such as Directives and SOPs and many many other uses. This is our go-to platform
at the Fire Department.

Powerful Automation For Power Users

We have implemented the Nintex Platform on our SharePoint 2013 On-Prem
environment and have been successfully automating processes since 2014. We
started small with a few key business processes and expanded over the years
across multiple business units and departments. Today we have automated over 100
processes including HR onboarding/offboarding, employee access requests and
safety forms to name just a few.

Nintex is well worth using and learning

It was used for workflows in automating most of the business processes including
call monitoring as well as cstat scores and clients' opinions on how service was
rendered. It made reporting on call's from clients easier and more accurate
allowing for improvement of service and happier end customers. It is also very
powerful and detailed for setting up these reports.

Nintex is ultra user friendly

We are using Nintex Forms and Workflow as our primary form software for
SharePoint 2016. Nintex is being used across the whole organization on a
departmental basis. We are using Nintex Forms to replace the many InfoPath forms
we have before the Microsoft support runs out. Nintex is also providing more

We selected Nintex Process Platform as we already use Nintex products for form
and workflow development and are familiar and comfortable with them as a
Vendor. The option to tie process automation directly to the processes as
drafted in the platform was definitely an added bonus, and the features added
since we initially purchased the product (like checklists) have just increased

Since Lubrizol is a customer of Microsoft Office 365 products, our current
direction is to move as much of our SharePoint solutions (custom/OOB) from
on-premises to SharePoint Office 365, and we are already building our new stuff

Nintex Workflow - your way to digitize business processes

Nintex Workflow for Sharepoint is being used across the whole organization. It
is used for building of business processes. For example, approval processes
(vacation, purchase, development of new products), documentation, information
boards etc. Over time, we are digitizing more and more bureaucratic tasks. We
can no longer imagine using Sharepoint without Nintex Workflow.

Workflows gave me my day back!

My organization was able to use Nintex workflows to compress processes that
previously took multiple steps (with multiple points of opportunity for human
and technical errors) into a single step from a user point of view. Being able
to eliminate the possibility of any one step being forgotten or bottlenecked was
great. Additionally, the automation allows for the system to function
independent of any one employee being at work, eliminating the fear of the
"person who knows how it works" to leave...

our constituents' donations. We also use it to create applications for our
Fiscal Sponsorship program. It is being used across the whole organization. It
makes the creation of certain documents not only contained within the same

Nintex Process Platform allows for unlimited process imagination

I have used it for years and when people ask about Nintex and other systems, I
always seem to fall back to Nintex because of the ability it has to make things
work. I always tell people that with Nintex, the limit is their imagination. If
they can imagine a software process then it can most likely be built into Nintex
Process Platform.

Nintex Platform solves issues of pre-onboarding prospects, onboarding clients,
and day to day client services. It assists in moving away from all email
communication to more communication through Slack and Salesforce. It has helped
us to automate business processes and has helped users to be productive even
while out of the office. It is user-friendly to create forms that can be
available on desktops and mobile devices.

I love using Nintex Forms and Workflow

Nintex Platform is being used across my organization. Previously, we used the
Nintex Platform on SharePoint 2013, and we are currently migrating Nintex
workflows and forms to SharePoint Online platform. Nintex Platform is used to
digitalize work processes across departments. From simple workflows with a few
actions to very complex workflows with more than 400 actions. Our users like
Nintex Forms a lot because it allows them to provide more user-friendly forms to
end-users.

Removed Repetitive IT Tasks at a Drag and Drop

We have found it's great to remove phone calls to the IT team, we take far less
calls with a self service portal. It also creates users pretty easily in O365 so
those little tasks have been taken away from the team so we can improve other
systems rather than fix users issues/update details. I can see how this could
really help other departments and we are looking to add it to these areas soon.

The Nintex workflows and forms were originally used as part of the new Document
Management solution when we migrated from shared drives to SharePoint. The forms
made item creation more intuitive and the workflows we created helped drive user
adoption e. g. Send for Approval, Assign To, Collect Feedback, and Set the
Department column (to automate metadata collection). The success of the
workflows and forms was picked up by the Finance Department who then spent one
year automating 80% of their pro...

Nintex Platform's Efficient Product

Nintex Platform is used business wide alongside SharePoint. We use it in many
lists with Nintex Platform forms, and we use Nintex Platform workflows to
automate manual processes. We have hundreds of workflows and many forms. Nintex
Platform has been instrumental in aiding different business departments to
become more efficient and enable resources to be used in a more productive
manner.

Nintex Platform in Latin America

We use Nintex Platform to automate process, especially HR processes. For
example, we use it for leave requests, trips requests, onboarding requests,
etc. Even other areas in addition to IT are using Nintex to automate their own
processes, taking advantage of its ease-of-use. Besides that, we can have mobile
apps for iOS and Android in just a few extra clicks.

Screen-reader and keyboard navigation

Our website implements the ARIA attributes (Accessible Rich Internet
Applications) technique, alongside various behavioral changes, to ensure blind
users visiting with screen-readers can read, comprehend, and enjoy the website’s
functions. As soon as a user with a screen-reader enters your site, they
immediately receive a prompt to enter the Screen-Reader Profile so they can
browse and operate your site effectively. Here’s how our website covers some of
the most important screen-reader requirements:

 1. Screen-reader optimization: we run a process that learns the website’s
    components from top to bottom, to ensure ongoing compliance even when
    updating the website. In this process, we provide screen-readers with
    meaningful data using the ARIA set of attributes. For example, we provide
    accurate form labels; descriptions for actionable icons (social media icons,
    search icons, cart icons, etc.); validation guidance for form inputs;
    element roles such as buttons, menus, modal dialogues (popups), and others. 
    
    Additionally, the background process scans all of the website’s images. It
    provides an accurate and meaningful image-object-recognition-based

    website’s HTML and adds various behaviors using JavaScript code to make the
    website operable by the keyboard. This includes the ability to navigate the
    website using the Tab and Shift+Tab keys, operate dropdowns with the arrow
    keys, close them with Esc, trigger buttons and links using the Enter key,
    navigate between radio and checkbox elements using the arrow keys, and fill
    them in with the Spacebar or Enter key.
    
    Additionally, keyboard users will find content-skip menus available at any
    time by clicking Alt+2, or as the first element of the site while navigating
    with the keyboard. The background process also handles triggered popups by
    moving the keyboard focus towards them as soon as they appear, not allowing
    the focus to drift outside.
    
    Users can also use shortcuts such as “M” (menus), “H” (headings), “F”
    (forms), “B” (buttons), and “G” (graphics) to jump to specific elements.

    schemes of titles, texts, and backgrounds with over seven different coloring
    options.
 3. Animations – epileptic users can stop all running animations with the click
    of a button. Animations controlled by the interface include videos, GIFs,
    and CSS flashing transitions.
 4. Content highlighting – users can choose to emphasize essential elements such
    as links and titles. They can also choose to highlight focused or hovered
    elements only.
 5. Audio muting – users with hearing devices may experience headaches or other
    issues due to automatic audio playing. This option lets users mute the
    entire website instantly.
 6. Cognitive disorders – we utilize a search engine linked to Wikipedia and
    Wiktionary, allowing people with cognitive disorders to decipher meanings of
    phrases, initials, slang, and others.
 7. Additional functions – we allow users to change cursor color and size, use a
    printing mode, enable a virtual keyboard, and many other functions.

Assistive technology and browser compatibility

We aim to support as many browsers and assistive technologies as possible, so
our users can choose the best fitting tools for them, with as few limitations as
possible. Therefore, we have worked very hard to be able to support all major
systems that comprise over 95% of the user market share, including Google
Chrome, Mozilla Firefox, Apple Safari, Opera and Microsoft Edge, JAWS, and NVDA
(screen readers), both for Windows and MAC users.
