("Ricoh") respects your privacy. This Privacy Notice (the “Notice”) states how Ricoh collects, stores, processes, uses and discloses Personal Information in the United States, and about your rights with respect to your Personal Information within Ricoh’s control. Other Ricoh affiliates or subsidiaries publish privacy notices concerning how they use personal information. Ricoh has provided additional information for California residents at the end of this Notice to describe our practices regarding the collection, use, and disclosure of their Personal Information. Changes to Ricoh's Privacy Policy Ricoh’s business evolves constantly to meet the needs of its customers and to respond to changing business conditions, including new legal and regulatory requirements. Ricoh may revise this Privacy Notice at any time. Revisions to this Notice are effective when posted on this website on the date stated in the revision itself. Providing your Personal Information to Ricoh after any changes or revisions to this Privacy Notice constitutes your acknowledgement that the Personal Information you provide is subject to the revised terms of this Notice. Overview As used in this notice, “Personal Information” means information, in any form, that concerns you or any identified or identifiable person, including information that: (a) identifies, describes, or otherwise pertains to an identified or identifiable person; (b) is subject to regulation as personal information or personal data under laws or regulations governing the collection, processing, disclosure and use of personal information applicable to Ricoh’s business, including federal and state laws in effect in any part of the United States; or (c) both. Ricoh Collects, Uses and Discloses Personal Information to Sell its Products and Services, Provide Products and Services and to Provide Customer Service. Ricoh provides a wide range of products and business services. Ricoh collects, uses and discloses Personal Information to accept and fulfill orders for its products and services and to provide customer service. Some Ricoh customers choose to use Personal Information with Ricoh’s services. As a result, as a service provider, Ricoh may collect, store, process, and transfer Personal Information it obtains from customers. Ricoh Collects and Uses Personal Information as an Employer. Ricoh collects personal information from applicants for employment and uses it, in different phases of the hiring process, to verify applicants’ identity, eligibility to work in the United States, and qualifications for employment. In addition, Ricoh uses personal information provided by applicants to conduct pre-hiring background checks. No one is required to provide Ricoh with this information. However, Ricoh may not be able to process applications for employment and cannot offer employment to any person who does not provide the personal information required during the application process. Ricoh collects personal information from each employee necessary to discharge its obligations, exercise its rights as an employer, and comply with applicable laws and regulations. Personal information collected from applicants for employment and employees includes the applicant’s or employee’s full name, social security number, residential address, phone numbers, and personal email addresses. In connection with administering employment benefits, Ricoh may collect additional personal information concerning an employee’s spouse, domestic partner, children, and other dependents and beneficiaries. Ricoh may transfer personal information collected from applicants for employment and employees to service providers that conduct background checks, provide or administer employment benefits, or provide other services related to Ricoh’s operations as an employer. Ricoh has provided additional information for employees and applicants for employment who are California residents at the end of this Notice. Ricoh Collects and Uses Personal Information to Promote its Products and Services. Ricoh collects and uses Personal Information to promote its products and services. For example, Ricoh may collect Personal Information from users of its public websites and on social media platforms to communicate with prospective customers and to provide them with promotional information and offers. Ricoh’s Collection of Personal Information Ricoh collects Personal Information from multiple legitimate and lawful sources, including: * From you, when you call us, visit our websites, request information about Ricoh products and services, use our products and services, respond to our online advertisements, or interact with us on any social media platform or service; * From public and commercially available sources, including ad networks, data analytics providers, platforms, social networks, data brokers, publicly available databases, cooperative databases, and joint marketing partners; and * From customers, in the course of providing them with Ricoh’s products and services, as the agreement between Ricoh and each customer permits. When Ricoh processes Personal Information on behalf of its customers, their privacy policies and practices apply. The Personal Information Ricoh Collects. Ricoh collects items of Personal Information to provide you or your employer with information about Ricoh’s products and services that may be of interest and as requested, deliver products to you or your employer, verify that you or your employer are an authorized user of Ricoh services, provide services to you or your employer, and provide customer service. If a Ricoh customer uses Personal Information about you in conjunction with Ricoh’s services, Ricoh may collect that information in the course of providing those services. Ricoh’s Use of Personal Information Ricoh uses the Personal Information it collects for legitimate business purposes and in compliance with applicable law. For example, Ricoh uses Personal Information to: * Communicate with you, including by responding to your inquiries; * Optimize your interactions with our websites to improve your experience and provide you with useful and appropriate information; * Advertise, market and sell products and services, including by providing individualized access to promotional information and offers; * Process and fulfil orders, conducting transactions for, delivering, providing, maintaining and supporting the products and services Ricoh provides to you or your employer, including by authenticating end users, processing invoices and payments, and providing financing; * Provide customer service, including by administering, managing and supporting customer relationships, managing service delivery, monitoring your use of products and services. and identifying and remediating service delivery issues; * Research, develop, update, enhance, improve and demonstrate new and improved features and functions of products and services; * Provide its employees with safe, secure, productive and orderly workplace; and * Accomplish other legitimate purposes. For example, Ricoh adopts and maintains certain safeguards for its operations concerning Personal Information that are required by law, are appropriate and reasonable to detect and minimize security incidents or are reasonably required to achieve and maintain industry certifications related to Ricoh’s business. Ricoh, its auditors, or both may access and process Personal Information to: (a) assess and maintain the effectiveness of internal processes and safeguards; (b) monitor our operations to comply with legal, regulatory or contractual requirements; (c) detect and prevent cyberattacks or attempts to commit identity theft; and (d) meet legal and regulatory obligations. How Ricoh Retains Personal Information Ricoh retains Personal Information for as long as it has a legitimate purpose for retaining that information and is permitted to do so by law. For example: * If a customer provides Ricoh with Personal Information in connection with Ricoh’s services, Ricoh will retain that information for the period of time consistent with Ricoh’s agreement with its customer; * If a customer provides Ricoh with Personal Information in connection with a purchase of a Ricoh product, Ricoh will retain that information for at least the period required to deliver, install, maintain, service, and support the customer’s use of that product; * If Ricoh is required to retain Personal Information by applicable law, regulation, subpoena, document preservation letter, or other legal requirement, Ricoh will retain that information for the period required to comply; * If Ricoh determines that its legal rights and interests require retention of Personal Information, it will retain Personal Information for as long as its legal interests require and Ricoh is legally permitted to do so; and * If you choose to have a relationship with Ricoh, such as a contractual or other business relationship, we will contact you throughout and as part of that business relationship, as well as to provide you with information about other Ricoh products and promotions that may be of interest to you. Ricoh’s Disclosure of Personal Information. Personal Information Ricoh collects in the United States may be disclosed to: * Ricoh’s corporate parent and its affiliates. The information disclosed may be stored, processed and used for any of the purposes stated in this notice outside the United States in other countries where any Ricoh company operates; * Ricoh’s unaffiliated vendors that: (a) provide products and services that Ricoh uses internally or to service its customers; or (b) promote Ricoh’s products and services. Ricoh may disclose Personal Information to these vendors for any of the purposes stated in this Notice if those vendors need that information to provide their products or services to Ricoh. For example, if a customer uses Personal Information with a cloud-based service Ricoh provides using an unaffiliated cloud service provider, such as Amazon Web Services or Microsoft, Personal Information received from that customer may be disclosed to Ricoh’s vendor. Unaffiliated vendors are generally required to protect the Personal Information Ricoh provides to them under their agreements with Ricoh, laws and regulations applicable to the vendors’ operations, or both; * Comply with laws and regulations that apply to the operations Ricoh and its affiliates conduct in the United States and abroad; * Cooperate with law enforcement, regulators, and other governmental agencies, as they request, require or as Ricoh otherwise thinks appropriate; * Enforce the legal rights and interest of Ricoh and its affiliates; * To protect the safety and privacy of Ricoh employees; and * Conduct corporate transactions in which Ricoh buys, sells, merges with, acquires or reorganizes businesses in the United States or abroad. You always have the choice to provide or withhold Personal Information in your communications with Ricoh, your interactions with Ricoh’s websites and on social media. For example, certain Ricoh’s public facing websites and social media postings are accessible to the general public with no requirement to provide Ricoh with information of any kind. However, access to certain aspects of Ricoh’s online presence and the delivery of certain Ricoh publications, information, products and services require that Ricoh have certain Personal Information (e.g., Ricoh cannot provide you with information you request by email without knowing your email address). Under the CCPA, “sold” or “sale” means the disclosure of Personal Information for monetary or other valuable consideration, but does not include, for example, the transfer of Personal Information: (a) to a third party as you direct us to do, provided the third party does not also sell the personal information; (b) to third parties to let them know that you have opted out of the sale of your Personal Information; (c) to a service provider for a business purpose consistent with this notice and the service provider also does not sell the personal information; or (d) as an asset that is part of a merger, bankruptcy, or other disposition of all or any portion of our business. Your Right to Know; Your Right To Delete; and Your Right To Opt-Out of Sale If you are a California resident, you have the right to request that Ricoh: (1) Disclose to you the following information for the 12 months preceding your request (“Request to Know”): * The categories of Personal Information we collected about you and the categories of sources from which we collected such Personal Information; * The specific pieces of Personal Information we collected about you; * The business or commercial purpose for collecting or selling (if applicable) Personal Information about you; * The categories of Personal Information about you that we sold and, for each, the categories of third parties to whom we sold such Personal Information (if applicable); and * The categories of Personal Information about you that we otherwise shared or disclosed, and, for each, the categories of third parties with whom we shared or to whom we disclosed such Personal Information (if applicable). (2) Delete Personal Information we collected from you (“Request to Delete”). We will verify that you are who you say you are by requiring you to log into your account (if you have one) or by asking you for information that will enable us to verify your identity, as appropriate, depending on the sensitivity of your request. You may make a request on behalf of a child who is under 13 years old if you are the child’s parent or legal guardian. If you make a Request to Delete, we may ask you to verify your request before we delete your Personal Information. If you are the authorized agent of a consumer, making a Request to Know or a Request to Delete on behalf of the consumer, we will ask you for: 1. Proof of your registration with the California Secretary of State to conduct business in California; and 2. Proof that the consumer has authorized you to make a Request to Know or a Request to Delete on the consumer’s behalf. This must be a permission signed by the consumer. “Signed” means that the permission has either been physically signed or provided electronically in accordance with the Uniform Electronic Transactions Act, Civil Code 1633.7 et seq. If an authorized agent has not provided us with a power of attorney from the consumer pursuant to Probate Code sections 4000-4465, we may also: 1. Require the consumer to provide you with a written permission signed by the consumer to make the request on the consumer’s behalf; 2. Verify the identity of the consumer as we would if the consumer were making the request personally; and 3. Obtain verification from the consumer that they provided the authorized agent permission to make the request. We will respond to your request consistent with applicable law. Except where required to act otherwise by law, if Ricoh obtained your Personal Information in connection with an engagement to provide services to a customer, Ricoh will notify the customer concerned of your request and respond to your request as that customer reasonably requests, including by referring your request to the customer. In all cases, Ricoh respond to your request as the CCPA requires.
