Source: Hubspot Support Blog * Phil Sherwood * July 7, 2016 * Uncategorized 0 DIGITAL CERTIFICATES DIGITAL CERTIFICATES You’ve probably heard recently about “Heart Bleed” and the vulnerability of SSL certificates and web sites. SherWare’s web site and the online reporting web site were not affected. We do use SSL certificates on our sites but they weren’t generated with the Open-SSL vulnerability. Not only do we use SSL certificates for the web sites, we also use digital code-signing certificates for our applications. What is a code signing certificate? In the words of wikipedia: > Code signing is the process of digitally signing executables and scripts to > confirm the software author and guarantee that the code has not been altered > or corrupted since it was signed by use of a cryptographic hash. > > Code signing can provide several valuable features. The most common use of > code signing is to provide security when deploying; in some programming > languages, it can also be used to help prevent namespace conflicts. Almost > every code signing implementation will provide some sort of digital signature > mechanism to verify the identity of the author or build system, and a checksum > to verify that the object has not been modified. It can also be used to > provide versioning information about an object or to store other meta data > about an object. What this means is that we attach a digital code-signing certificate to our applications so that when you run them, especially across a network, Windows will tell you who the author of the application is and we’ll be able to tell if it has been modified since we released it to you. OBTAINING A CERTIFICATE To obtain a digital certificate for code-signing an application you have to purchase the certificate from a certificate authority and then go through a validation process so that the certificate authority can verify that the company applying for the certificate is who they say they are. The process typically takes a couple of days. QUICKBOOKS AND CERTIFICATES If you’re using the integrated version of the Disbursement and JIB Manager, you’ll have seen the following dialog when connecting to your QuickBooks company the first time. QuickBooks identifies the application that is connecting to one of its data files by the digital certificate that is attached to the application. If the certificate is invalid, QuickBooks won’t let the application connect to the company requested. You’ll also see this dialog when we renew our certificate, which we just did on April 1st. WINDOWS XP AND CERTIFICATES It’s hard to believe that many companies are still using Windows XP on their desktops. I’m sure the mentality is, “If it isn’t broke, don’t fix it.” In the case of digital certificates, Windows XP is starting to break if it hasn’t been updated to Service Pack 3. All digital certificates are signed with a cryptographic hash. The most common has was SHA1 until recently. SHA1 is being phased out because of security flaws that have been detected and SHA2 is being implemented. Windows XP won’t recognize a digital certificate signed with SHA2 unless it has been udpated to service pack 3. What you’ll see is a message stating that the applications digital signature is invalid. The certificates that SherWare use are signed with SHA2, so if you’re still using Windows XP, make sure it it upated to service pack 3 (SP3). **Update** We’ve found that even most Win XP SP3 systems don’t support the SHA256 Encryption hash. In order to get a signed DMIE application to work with QB you’ll need to upgrade to Windows 7 or 8. Source: Hubspot Support Blog * Phil Sherwood * April 22, 2014 * Uncategorized 0 SHERWARE NEWS NEW UPDATES AVAILABLE We’ve released version 6.2.3 of the Accounting Manager, version 8.2.3 of the Disbursment Manager and 3.2.3 of the Disbursement and JIB Manager Integrated Edition last evening. The update has a few fixes as well as a couple of new items. Here’s the list of the changes: * OH Sev Tax – Added the ability to create the data file upload for Ohio severance tax payments online. (SV-6) (Must have the OH Cost Recovery Module) * Help Menu – Added the software wish list to the Help menu. Access the wish list to vote for your favorites or add your own. * Upload Reports to Web – Fixed a problem with uploading JIB statements. * JIB Prepayments – Fixed problem of processing multiple prepayments. It wasn’t subtracting the amount of the first prepayment from the total amount when it checked to see if the next prepayment was needed. * Well Decline Report – Changed to not require a Field to be attached to a well for the report to work. * Owner Statements – Fixed problem with wells with no activity showing on the statement. * Owner Statements – Fixed problem with owner minimum statements printing when neither minimums or deficits are chosen. * Delay Rental Report – Fixed problem with the totals not resetting between owners. * WV Report WR39 – Changed to format the export file in the new format required by the state. * Lease Operating Statement – Fixed problem with numbers doubling when an owner has 2 interests in a well. * Direct Deposit – Added the ability to create a pre-note which is a zero amount file that can be sent to the bank to double check the bank account numbers for the owners setup to be direct deposited. Source: Hubspot Support Blog * Phil Sherwood * April 17, 2014 * Uncategorized 0 YEAR-END UPDATE POSTMORTEM YEAR END UPDATE If you downloaded one of the year-end updates we released on December 30th, 2013, we feel your pain. All we can say is we apologize. It was probably one of the worst executed updates we’ve ever done and we’ve learned our lesson. WHAT WENT WRONG Over the years we’ve learned that putting out less updates makes for less chances for software glitches and makes for happier clients. We’ve done really well at this the last couple of years. So well, that in 2013 we only put out three updates. One in March, July and then at the end of the year. That was great, except for one thing. When you don’t release an update to the software for over six months but you’ve made six months of changes, it makes for a lot of fixes, additions and changes to test. That’s where we failed. Don’t get me wrong…we tested and tested and tested. We even thought that this would be our most tested update ever, and it was. We were fooled. Unfortunately, the joke was on you, our clients. WHAT WE’RE GOING TO DO IN THE FUTURE In the future, we will split out updates that have new additions from the updates that have fixes. This means that if you want to continue running your current version of software without getting updates with new features and redesigned screens and reports, etc., you can do so. The update to a new version will be a choice on your part instead of being an automatic update. This will allow you to operate your business with software that doesn’t interrupt your work flow and to have your software operate the way you’re used to it operating. We will release updates to your current version of software only when there are fixes that need to be made and those updates will not contain any new features. WILL THERE BE NEW UPDATES THIS YEAR? We plan to release an update to the software early in the fall for those who want to take advantage of it. We’ll let you know what new features you can expect in a future blog post. We still get many requests for enhancements and additions. We love getting your requests because that’s what makes the software better! Please keep your requests coming and keep giving us your input. Make sure all of the setup options are specified. 2. Create the 1099s with the “Create 1099” window. 3. Review the information that will print on the 1099 with the “1099 Summary” and “Owner 1099Reconciliation” Reports. 4. Make any necessary adjustments to the 1099s on both the “Update 1099 File” and “Update1099 Detail File” windows. 5. Print the 1099s with the “Print 1099 Forms” window. 6. Create the electronic file to submit to the IRS with the “Magnetic Media 1099s” window if you are submitting your 1099s electronically. You will then need to submit this file on your own, orSherWare can submit your file for a fee. 7. Any requests for another copy of the 1099 can be printed using the “1099 Misc Replacement”window. Source: Hubspot Support Blog * Phil Sherwood * January 26, 2012 * Uncategorized 0 WHEN THINGS CRASH I took up road cycling last year as a way to relieve stress and get into shape. It’s something I love to do and do often. This summer I had ridden 100 miles in one day and tried to ride close to 100 miles a week. With all the cycling I had been doing, I hadn’t attempted mountain biking. Growing up in W.Va., that’s all I used to do. So when my nephew, who races mountain bikes, asked me to go along on an easy trail, I jumped at the chance. We didn’t get too far on the trail until I made a stupid mistake. I hit the front brake instead of the back brake when I was approaching some tree roots. If you’re familiar with biking you know what means. It means I went over the handlebars. I had a choice at that point. I could land on my head or stick my arm out to break the fall. I did what anyone making a split second decision would do. I stuck my arm out. Here’s what I saw when I sat up: Your wrist isn’t supposed to have an “S” curve in it, is it? Once we walked back to the vehicle and found a hospital, here’s what the xray showed: Everything was jammed up into my wrist. No wonder the pain was excruciating. Ahh, but the nice Dr. had an answer for the pain. Whatever they gave me was wonderful. I think it was called Diluadid. The nurse said it was called the big “D” and that didn’t mean divorce or Dallas. To me it was Delightful. I was quickly, for coming through an emergency room, sent to surgery. If you’re ever in need of an emergency room, I highly recommend Fisher-Titus Medical Center in Norwalk, Ohio. By far, the best experience I’ve ever had going through an ER. Here’s what my wrist looks like now: It almost looks like they stuck a fork in my wrist to hold things together. With more pain meds, I’m well on my way to recovery. I can still type, albeit much slower, so I can still work. What’s this have to do with software support, you ask? Not much, unfortunately. But…software does crash sometimes. When it does, you can view your SherWare Tech Support as your Dr. We can usually give you the medication to ease your pain and usually we come up with a solution that may look like a fork to you, but it works. Our job is to keep you on your bike and heading down the road. You’ve heard the expression that if you fall off your bike you have to get up and get back on and keep going. I eventually will do that, once the Dr. releases me. Now I have more time to ponder about software and how to avoid crashes in the future…..for both of us. You can place notes for particular owner types on the owner distribution statements by using the Statement Notes function found under the tasks menu. When the statement note dialog opens you specify the well the note should apply to and then after typing the note you can choose what type of owner in the well will see the note. You can choose all owners, royalty owners, overriding royalty owners or working interest owners. The note you type will show on the statement after the well’s revenue and expenses print and will only show on the statement for the chosen type of owner. Source: Hubspot Support Blog * Phil Sherwood * August 23, 2011 * Uncategorized 0 CHECK REGISTER BEGINNING BALANCES We’re often asked how to put in the opening balance for an account in the check register so that the Bank Reconcilation starts off with that balance. It’s really pretty simple. Just enter a manual entry into the check register by going to Tasks, Check Processing, Check Register. If the balance is a debit balance, enter a deposit and mark the check box that denotes the deposit as cleared. Then put in the reconciliation date of the reconciliation before the one you’re getting ready to do. If the balance is a credit balance then enter a manual check entry instead of a deposit. The opening balance for the first reconciliation is taken from the sum of all cleared deposits and checks. So after entering the manual entries, the bank reconciliation found under Tasks, Bank Reconciliation will have the correct opening balance. See. That wasn’t so hard.
